We are a local based Restoration/general contracting company operating in the Lower Mainland looking for an Administrative / Office Assistant to be a key part of our team.
To be successful, we are looking for a confident and punctual professional to own their role. We require someone with strong attention to detail skills, ability to multi-task and work with a sense of urgency.
Job Duties Include but are not limited to the following:
General front desk duties including; organizing and supporting the day-to-day tasks of the office as well as coordinating site visits and meetings, greeting visitors and directing them to the appropriate person, answering phone calls and monitoring emails
Responsible for invoicing and daily tracking routines
Provide assistance and support to the Managers
Verify and approve time clock entries
Maintain and organize files, both physical & digital
Maintaining and updating databases, contact lists, document files and tracking excel spreadsheets
Process payroll and maintain accurate records
Determine and establish office procedures and routines
Maintaining accounts receivable and payable via Quickbooks Online
Order office supplies and maintain inventory; maintain overall office cleanliness
Reconcile accounts and resolve any discrepancies
Oversee and process cheques; hand written and printed
Generate reports as needed for management review and financial analysis.
Assist with HR tasks as needed
Requirements:
Minimum of 2 years experience in office administration or clerical role. Preferably in a Construction setting.
Excellent written and oral communication skills (Fluent in English)
Previous experience processing payroll and paying taxes is essential.
Well organized, detailed/accurate, strong analytical, problem-solving and planning skills with a willingness to learn and take initiative
Ability to prioritize workload, be proactive, and work independently
Proficient using Microsoft Office Suite (Outlook, Word, Excel)
Experience with QuickBooks Online or other accounting software is mandatory.
Demonstrated high standards of ethics and confidentiality to handle sensitive information
Excellent interpersonal and customer service skills, polite phone etiquette

Job Type: Administrative / Office Assistant
Wage: $20 – $26 (depending on experience). Extended Health Benefits after 3 months’ probation period.
Working Days:
The office hours are 9:00 am to 5:00 pm Monday through Friday.
Job Types: Full-time, Permanent
Pay: $23.00-$26.00 per hour
