The Ombudsman is an Officer of the Legislative Assembly of Saskatchewan, mandated underTheOmbudsman Act, 2012,who receives, assesses, and investigates complaints from citizens about provincial and municipal government services, Crown Corporations, and publicly funded health entities. Through file work and public/public sector education, the office works to ensure government accountability to the citizens it serves and to promote fairness in the delivery of public services. As Public Interest Disclosure Commissioner, operating underThePublic Interest Disclosure Act,the Commissioner investigates disclosures of wrongdoings and complaints of reprisal from provincial public sector employees and helps to ensure the provincial government provides a workplace where wrongdoings can be safely raised and appropriately addressed.

The Ombudsman and Public Interest Disclosure Commissioner is seeking a highly organized, energetic, confident, and independent individual to provide senior administrative support in our Regina office.

You will have knowledge of a wide range of office administrative activities, such as: preparing correspondence, processing invoices, coordinating meetings and travel arrangements, and processing travel expense statements.

In this challenging and dynamic position, you will use teamwork skills to provide senior level administrative support to the leadership team. Strong interpersonal and communication skills are required as this position will respond to public inquiries both over the telephone and in person.

You will be responsible for:

As the Executive Administrative Assistant for the office, you will provide senior level administrative support and office management support to the leadership team. You will:

Edit and finalize all official reports and letters issued and signed by the Ombudsman and lead the process of seeking and receiving submissions from government agencies about Ombudsman reports on behalf of the office.

Administer management meetings, produce agendas, assemble all briefing and background materials for the management team in preparation for meetings; record minutes, maintain decision logs, bring forward decision items for discussion and ensure timelines and deadlines are met.

Organize the Ombudsman’s calendar, liaising with various public entities, including Deputy Minister’s, Mayors or CEO’s.

Participate in the hiring process for Administrative Assistants including the selection process and interviewing.

Monitor, redirect and manage the flow of information and requests to and from the Ombudsman, Deputy Ombudsman, and other team members.
