Full job description

We are seeking an experienced Administrative Assistant to join our team. The ideal candidate will have excellent organizational and communication skills, as well as a strong attention to detail. As an Administrative Assistant, you will be responsible for providing administrative support to our Director.

Responsibilities

Promote Wainwright Children Centre’s vision and mission to parents, staff, and community.

Process, analyze and maintain accounts payable and accounts receivable.

Assist Director with monthly billing of daycare and OSC fees.

Assist Director with producing receipts for parents.

Calculate time sheets/records and assess variances to staff entitlements.

Prepare banking requirements for the timely payment of bills, wages, and statutory deductions.

Contact suppliers to obtain information on price, quality, and delivery capabilities for required goods/services.

Assist Director in the development, updating and communication of internal systems, policies, and procedures.

Provide human resources support to the Director in the areas of recruitment and on-boarding, performance management.

Assist with basic software and hardware administration.

Coordinate monthly staff meetings with the Director including the scheduling, agendas, and minutes.

Provide a courteous reception and information service to assist callers and on-site visitors.

Schedule appointments for the Director as requested.

Manage incoming and outgoing mail, arrange for courier deliveries, and assist in clerical work such as copying, typing, filing and the ordering of office supplies.

Maintain accurate filing systems.

Facilitate the communication of daycare updates through the daycare management software; Brightwheel.

Collect and maintain physical and digital office records that contain financial, children and staff data while maintaining confidentiality.

Perform other duties as assigned by Director and Board of Directors

Qualifications

Education or previous experience as an Administrative Assistant and/or Bookkeeper is considered an asset.

Knowledge of accounting programs (i.e Sage50, QuickBooks, Xero, etc.) is considered an asset.

Basic understanding of accounting principles is considered an asset.

Basic understanding of Microsoft Office Applications (word, excel, etc.)

Clean criminal record and vulnerable persons check is required.

Salary will commensurate with education and experience.
