WLR Projects Support Coordinator

What you’ll do
- Maintains projects managed by Water Licence Requirements (WLR) in SAP, including: monitoring costs; producing,
analyzing and interpreting reports; identifying financial/cost issues; and preparing material to communicate variances for
WLR Leads and/or Environmental Project Specialists (EPS). Investigates and rectifies SAP integration issues through
system testing and troubleshooting. Verifies data from SAP and Primavera P6 applications and resolves data integrity and
synchronization issues between applications.
- Monitors financial and accounting transactions related to invoicing, labour and accruals to ensure accuracy by: resolving
identified errors in processing, record-keeping or systems and ensuring that corrections and adjustments are made in SAP,
Primavera P6 or other project records (such as MS Access and SharePoint); preparing and assisting WLR team with
Service Entry Sheets, purchase orders and requisitions; verifying and updating charge codes and invoice approvers as
required; monitoring contract accruals, key dates, payment requisitions, cost allocations and preparing journal vouchers to
correct cost allocation errors; and communicating approvals from the Comptroller of Water Rights (CWR) to WLR Leads
and/or EPS.
- Meets with WLR Leads, EPS and other internal/external stakeholders to discuss cost control issues and solutions
including: updating SAP project forecasts with guidance from WLR Leads and/or EPS; tracking project costs, variances and
ensuring alignment with estimated spend; updating cost status reports, troubleshooting questionable costs with finance and
preparing various project reports; monitoring project and program progress, cost overruns, deviations and overseeing
project charge codes in SAP; and responding to queries, interpreting financial and business rules and advising on financial
procedures and requirements.
- Develops and maintains resource-loaded schedules in accordance with Schedule Management procedures for projects
managed by WLR using input from the WLR Leads and/or EPS. Discusses, shapes and records work package information
such as activities, resources and relationships in terms and detail sufficient to satisfy the requirements and parameters of
the resource-loaded cost scheduling tools, Project Management practices and Scheduling procedures/guidelines. Provides
guidance on sequencing, dependencies and appropriate levels of detail to ensure accurate and effective project planning.
- Breaks down work packages in Primavera P6 into detailed network activities with start and end dates and other
scheduling data as established with WLR Leads and/or EPS. Loads activities with all labour, materials and equipment
costs, synchronizes scheduling details with SAP and resolves synchronization issues in Primavera P6 as required. Monitors
and highlights changes or variances to schedule and brings recommendations to the WLR Leads and/or EPS to ensure
milestones and targets are met.
- Assigns appropriate work centres for each activity in the schedule through discussion with the WLR Leads and/or EPS.
Ensures assignments are reasonable and makes recommendations and adjustments for WLR Leads and/or EPS as
needed. Provides schedule related reports, information and provides technical advice/guidance on the operation and
functionality of the resource-loaded cost scheduling tools as required.
- Performs monthly activity progressions against performance measurements (such as cost, schedule and earned value).
Investigates off-track performance and corrects errors in Primavera P6, SAP, and other records. Discusses concerns such
as significant schedule changes and adjusts schedules with respect to cost overruns and project deviations based on input
program-level summary for WLR Leads and Finance to promptly identify challenges and propose solutions.
- Submits project Terms of Reference and budget approvals to the CWR and ensures outcomes are communicated to the
relevant stakeholders. Monitors costs, forecasts, schedules, deviations and revises Terms of Reference Documents and/or
budgets as required. Logs and tracks submissions and reports using Microsoft Access for archiving purposes.
- Prepares and organizes project files, various financial reports, schedule related documentation and correspondence.
Supports WLR Leads and EPS with information gathering and board report preparation. Oversees the external website for
WLR project documentation, ensuring accurate information, formatting and that all applicable documents are posted.
- Performs duties of a minor nature related to the above duties that do not affect the rating of the job.
What you bring
- Diploma in Business Administration, Accounting, Finance, Environmental Science or a related field of study.
- Three (3) years of experience in a program/project management support role or an equivalent role involved in providing
scheduling support, cost control and financial/accounting process execution.
- Completion of courses in Project Management considered an asset.
- Actively working towards completion of a professional scheduling program such as Project Management Institute
Scheduling Professional (PMI-SP) considered an asset.
- Project Management Institute (PMI) certifications in good standing such as PMI Project Management Ready, Certified
Associate in Project Management (CAPM); or working towards a Project Management Professional (PMP) considered an
asset.
- Familiarity with SAP and Primavera P6 project management software considered an asset.

- This is for a temporary full-time temporary (FTT) MoveUP Group 9 opportunity on the team, headquartered at our
Edmonds location in Burnaby, BC for approximately 12 months.
- Perform financial and project management support duties for a Variety of Environmental Programs to ensure appropriate
governance, financial and document/records management controls are followed.
- Works in a normal office environment.
- As part of the selection process, applicants may be required to take a written test/assessment or presentation.
- Experience with Power BI and SharePoint Online is considered an asset.
Skills, Knowledge and Abilities Required:
- Position requires knowledge of Primavera P6 and synchronization processes with SAP. Also requires knowledge of SAP
Supply Chain Application (SCA) including creating purchase requisitions, contract change requests, and service entry sheet
creation. Also provides ad hoc reporting on contract information. May be required to create material requests.
- Understanding of the Water Use Planning process and BC Hydro’s obligations to the program.
- Working knowledge of SAP, Primavera P6, PPM Solution (Integration of SAP and P6), P6 reporting and Business
Warehouse reporting.
- Advanced knowledge of MS Access, Excel and MS Word.
- Working knowledge of Sharepoint, Adobe Acrobat, PowerPoint, Outlook, Explorer, Cognos, Passport.
- Ability to compile and submit standardized reports and correspondence to regulatory bodies such as the Comptroller of
Water Rights, Fisheries and Oceans Canada, and Ministry of Environment.
- Ability to set up and maintain program-level document management systems.
- Ability to perform research, summarize information and prepare reports.
- Excellent planning and organizational skills.
- Well developed verbal and written communication skills.
- Well developed interpersonal skills.
- Knowledge of project management principles and procedures.
