The Service Coordinator is responsible for setting appointments and inputting appointments into the service technician’s calendars. This includes scheduling for multi-technician jobs, and customers that prefer set appointments. The Service coordinator is the key person who knows where technicians are at any given time. The Service coordinator works closely with other coordinators, invoice team and sales team.
Key Responsibilities:
· Phone and email with customers to set appointments for annual, semi-annual inspections and repairs.
· Input appointments into ServiceTrade for the technician. Appointment information to include; time, address, contact name, contact number and any other key information that would be valuable and necessary for the technician to complete the job.
· Set up third party vendors for appointments as needed
· Coordinate cross functional jobs for the technicians in ServiceTrade
· Ensure repair work is scheduled within appropriate timelines.
· Prepare electronic paperwork for technicians and ensure they have access to the documents before the scheduled work time
· Follow up with technicians on their completed work ensuring it is properly prepared and ready for invoicing.
· Additional support duties as required.
Qualifications
· Experience: 3 – 5 years of dispatch/service coordinator experience in the fire and safety industry or similar technical service based industry.
· Knowledge of fire codes, building codes and fire protection standards.
· Working knowledge of MS Office suite
· Excellent customer service skills.
· Excellent oral and written communication skills.
· Excellent time-management and organizational skills, and attention to detail.
