Full job description
Title: Receptionist
Department: Child and Family Services
Status: Full-Time
Pay grid: Front Line ($17.10 to $20.90 per hour)
Reporting to: Director of Community Social Services
Summary of Duties:
The Receptionist reports to the Director of Community Social Services. Receptionists greet visitors and help them navigate through the office, managing a wide range of administrative support with various departments.
Key Deliverables and Expectations:
Create a welcoming environment by greeting guests
Answer multi-line telephone, greet callers, and assist with inquiries
Review incoming/outgoing electronic communication in a timely matter
Screen, sort, scan & distribute incoming/outgoing mail
Coordinate the bookings and setting up meeting rooms as required
Assist clients to fill out forms either electronically or hand filled documents
Ensure the office equipment is in running order, place service calls when required
Maintain the office area, and ensure it is clean, safe, and professional always looking
Provide support for teams when necessary
Perform other related duties as requested.
Experience and Attributes:
High school graduation
Training/certificate in reception, office administration
Outstanding written and verbal communication skills in the English language.
Ability to work independently and as an integral member of various teams.
Strong organizational skills, meticulous attention to detail and time management skills.
Ability to meet deadlines prioritizes assignments, manage multiple tasks simultaneously and maintain confidentiality.
Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
Motivated self-starter and with strong interpersonal skills.
Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members.
