an exclusive portfolio of luxury wines, Cognac, premium Baijiu, and a growing collection of Chinese fine wines

from top-tier producers across Ningxia, Yunnan, and Xinjiang.

We are closely connected to Canadian Liquor Store — one of Canada’s top independent luxury spirits retailers

— Norden Wine Ltd., a BC-based wine export company focused on the China market, and Vancouver Wine

School, with whom we collaborate on trade education and events. This interconnected ecosystem means our

team has rare exposure to import, retail, export, and education all at once.

What You Will Do

Your responsibilities span six operational zones. You will own each of these areas with minimal supervision.

This is not a basic administrative assistant role. We are looking for a bilingual, wine-literate,

commercially minded operations professional who can function as the CEO’s right hand —

anticipating priorities, managing complex workstreams independently, and acting as the primary

support engine for our sales representative in the field. The right person treats every task as a

reflection of Bonvin’s brand and every action as a contribution to the company’s growth.

Prepare materials and agendas before every supplier, partner, or investor meeting

Track all open action items and follow up on pending decisions without prompting

Filter and triage all incoming requests by commercial priority and urgency

›Manage BCLDB and AGLC product listing submissions and tracking

›Maintain the supplier, SKU, and inventory master database

›Coordinate import documentation, customs paperwork, and freight liaison

›Process purchase orders and confirm with warehouse and logistics partners

›Monitor stock levels and proactively alert the sales rep to availability changes

›Manage pricing updates and distribute revised price lists across channels

›Produce sell sheets, tasting notes, product decks, and pricing proposals

›Update and maintain the CRM with account activity, order history, and follow-up schedules

›Research new prospect accounts ahead of rep visits — contacts, purchase history, buyer profile

›Process orders and manage delivery logistics on behalf of the rep

›Handle incoming buyer enquiries and relay time-sensitive messages when rep is in the field

›Proactively prepare pre-visit briefing packs before every significant account call

›Draft and produce bilingual (English and Chinese) product content, event materials, and social media posts

›Design and distribute event invitations, tasting menus, and printed materials for trade events

›Manage WeChat, Instagram, and Xiaohongshu posting calendars and content

›Coordinate full event logistics for winemaker dinners, portfolio tastings, and trade activations

›Maintain the Bonvin brand asset library — logos, product photos, templates, media kits

›Support Vancouver Wine School joint events from planning through to post-event reporting

›Compile monthly sales performance reports by SKU, rep territory, and province

›Analyse depletion data and flag underperforming accounts or declining SKUs with recommendations

›Monitor competitor pricing, new listings, and market activity across BC and Alberta

›Maintain financial tracking for expenses, invoices, and commission calculations

›Deliver CEO-ready briefing summaries — not raw data, but insight and recommended action

›Use AI tools (Claude, ChatGPT) to accelerate analysis, content production, and reporting workflows

›Manage bilingual EN/ZH supplier correspondence for all portfolio producers

›Coordinate with Canadian Liquor Store, Norden Wine Ltd., and Vancouver Wine School teams

›Handle trade media, influencer, and press enquiries on behalf of Bonvin

›Manage contract filing, renewal tracking, and exclusivity agreement administration

›Liaise directly with BCLDB and AGLC on compliance and listing matters

Qualifications

—WSET Level 2 minimum (Level 3 strongly preferred)

—Bilingual English + Mandarin or Cantonese (written & spoken)

—Strong, demonstrable proactive work ethic — you act before being asked

—Commercial awareness of how an import/distribution agency operates

—Exceptional written communication skills in both English and Chinese

—BCLDB and/or AGLC regulatory familiarity, or ability to learn quickly
