Position Summary

The Operations Support role plays a critical part in ensuring the smooth day-to-day functioning of clinic operations. Working closely with the Clinic Manager, this position supports clinical programs, operational workflows, and business initiatives while maintaining a high standard of patient experience. The role requires strong collaboration, problem-solving, and administrative capabilities to drive operational efficiency and support the Medical Operations team.

What You Will Be Doing

This position will report directly to the Clinic Manager. You will be expected to ensure adequate coverage and long-term stability of the clinic functioning.

Maintain high client service experience standards by monitoring process operations.

Special Projects (including But Not Limited To)

Collaborate and support special projects and initiatives as requiredEmployee Relations and ResponsibilitiesDetermine and support needs of Medical Operations teamTrack performance measures for Medical Operations team (EMR audits, referral follow-ups, email response time etc)Attend operations huddlesIdentify and implement workflow efficienciesManage client recoveryAssigned duties and special projects (including but not limited to):Maintain clear and accurate operations documents/procedures for reference purposesEnsure compliance with company standards and proceduresBuild and maintain strong relationships through regular communicationsProvide guidance to internal teams to achieve performance targetsHelp to identify problems in medical operations process and resolve them in quickly and timely mannerEvent planning/updating employee demographics spreadsheet.Updating pricing for Specialized Tests and Vaccines as required.Medical Billing and reconciliation of AHCIP Billing ReportsEquipment/Supply/Business Card OrderingMaintain and update Ring Central phone script & Phone Cheat SheetBack up for vacation and/or sick coverage to the Facility Operations CoordinatorAccountingMonthly Bank DepositMark incoming cheques as paid and attaching receiptMaking payments in POS for corporate clients as requested by Payables.Medical Device ReprocessingAssist with Medical Device Reprocessing as requiredAssist with daily, weekly, & monthly maintenance of autoclaveMonitor Reprocessing supplies to ensure stock level are maintainedInformation Technology (including but not limited to):Knowledge of the EMR (CHR)Exam templates – create and updateSmart Forms – archive existing, update and create new, as requiredMonitor and maintain lists within system, ie, doctors, medications, pharmaciesBack up to Operations Coordinator as main liaison for the medical team with Telus Health Solutions Help DeskSupport other departments that require EMR support and projectsCompile various reports, as needed

You have

Experience in healthcare operations, medical administration, or a similar environmentFamiliarity with EMR systems (CHR experience is an asset)Strong organizational skills with the ability to manage detailed informationExcellent problem-solving skills and ability to work independentlyStrong communication and interpersonal skillsAbility to multitask and prioritize in a fast-paced environmentHigh level of accuracy and attention to detailProficiency with multiple software systems and adaptability to new tools
