About The PositionThis is a temporary part time position replacing a bargaining unit employee. This position will ideally start March 18, 2024 and end in March 2025. Working 24 hours per week at an hourly rate of $24.80, reporting to the Dean, International Education.

The Office Assistant performs a variety of semi-routine clerical and word processing functions in support of the college’s administrative activities.

Specific Accountabilities

Compiling and maintaining data for inclusion in statistical summaries, preparing statistical reports, and conducting data reconciliation. Maintaining up-to-date data files and compiling frequent status reports.

Setting-up and maintaining a wide variety of files and records. Implementing applicable records retention schedule for files.

Providing counter services/information/assistance to students. Processing registrations for students, receiving documents for issuance or filing. Ensuring submitted documentation is accurate and correct.

Answering telephone calls and responding to routine/general enquires from students/staff/teachers. Referring detailed enquires to appropriate staff members for action. Providing follow-up and liaison with delivery agents.

Checking expense accounts, invoices etc. for accuracy and completeness. Preparing requests for purchase orders; maintaining supplies/publications/adequate equipment.

Preparing related documents and correspondence. Inputting and checking student records, maintaining updated student documents on file. Prepares pre-assessment of international applications.

Preparing routine correspondence from brief verbal or written instructions. Copy typing from handwritten drafts and printed matter using word processing software. Transcribing minutes of meetings in draft form. Proofreading all completed work for accuracy and completeness, returning it to appropriate staff member for signature.

Performs other duties as assigned.

Qualifications

Completion of a 2 year post secondary College diploma or equivalent

Up to 18 months of experience working in a fast paced office environment

Knowledge of office systems; personal computer and office software; general office practices/administrative procedures such as data entry, purchasing, inventory, and writing skills to prepare correspondence
