Tutor Doctor is seeking a diligent and detail-oriented Office Administrator to join our team in South Surrey. The ideal candidate will be responsible for managing data entry tasks, performing various office administrative duties, and answering phones. This role is essential in ensuring the smooth operation of our office and maintaining accurate records.
Key Responsibilities:
Data Entry: Accurately enter and update data in our systems and databases. Ensure all information is correctly recorded and up-to-date.
Office Administration: Perform general office duties, including filing, photocopying, and organizing documents.
Answering Phones: Manage incoming calls in a professional and courteous manner. Direct calls to the appropriate department or individual and take messages when necessary.
Document Management: Maintain and organize both electronic and physical files. Ensure documents are easily accessible and securely stored.
Scheduling: Assist in scheduling appointments, meetings, and other events. Coordinate calendars and ensure all participants are informed of any changes.
Correspondence: Handle incoming and outgoing mail, emails, and other forms of communication. Draft routine correspondence as needed.
Customer Service: Provide excellent customer service by addressing inquiries and resolving issues promptly and efficiently.
Inventory Management: Monitor office supplies and place orders when necessary to ensure the office is well-stocked.
Support Tasks: Assist other departments with administrative tasks as needed. Provide support for special projects and initiatives.
Qualifications:
High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
1-2 years of proven experience in data entry and office administration.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to manage multiple tasks and prioritize effectively.
Professional and friendly demeanor with a strong customer service orientation.
Ability to work independently and as part of a team.
Working Conditions:
Full-time position, Monday to Friday.
Potential for occasional overtime based on workload and deadlines.
