About the role:
Previvo is seeking a professional, organized, and patient-focused Medical Office Assistant & Patient Care Coordinator to join our growing team.
This individual will serve as one of the first points of contact for patients and play a key role in delivering an exceptional patient experience. The successful candidate will thrive in a fast-paced environment, possess strong communication skills, and be able to manage multiple priorities while maintaining professionalism and attention to detail.
This role combines traditional medical office responsibilities with patient coordination, program support, and relationship management within a modern longevity and functional medicine clinic.
Key Responsibilities
- Deliver a premium, patient-centered experience throughout the patient journey
- Answer and direct incoming phone calls, emails, and patient inquiries
- Schedule, coordinate, and manage patient appointments
- Process patient payments for Previvo programs and services
- Manage patient communication, reminders, recalls, and follow-ups
- Review and organize referrals, faxes, and incoming documentation
- Coordinate testing appointments and support clinical workflows
- Verify insurance information and assist with billing-related inquiries
- Maintain accurate patient records and administrative documentation
- Support practitioners with administrative and operational needs
- Assist patients in navigating Previvo programs, services, and testing recommendations
- Support patient onboarding and program enrollment processes
- Educate patients on clinic services and offerings within the scope of the role
- Build strong relationships with patients while supporting long-term engagement and retention
- Coordinate communication between patients and healthcare providers to ensure a seamless care experience
- Ensure a clean, organized, and professional front-desk environment
- Contribute to efficient daily clinic operations while maintaining patient confidentiality
Qualifications
- Previous experience in a medical office, healthcare clinic, or related healthcare setting preferred
- Medical Office Assistant certification considered an asset
- Education or experience in Nutrition, Kinesiology, Exercise Science, Health Sciences, Psychology, or a related field is considered an asset
- Strong customer service and patient relations skills
- Excellent verbal and written communication abilities
- Knowledge of medical terminology is an asset
- Strong organizational skills with the ability to multitask effectively
- High attention to detail and professionalism
- Experience with Accuro EMR, Jane App, scheduling software, and Microsoft Office or Google Workspace preferred
- Passion for health, wellness, longevity, fitness, nutrition, or preventive healthcare
- Interest in learning about advanced diagnostics, functional medicine, and longevity-focused healthcare
- Demonstrated ability to build rapport and maintain positive patient relationships
- Ability to work collaboratively within a multidisciplinary healthcare team
