Condominium Law Legal Assistant Job Description:
Our firm is seeking a highly skilled, proactive, and detail-oriented Legal Assistant to provide comprehensive support to a senior lawyer in our Condominium Law practice. This role is integral to the effective management of a busy practice and requires a professional who can anticipate needs, exercise sound judgment, and manage competing priorities with confidence and discretion. Please note that this position requires 4 days per week in the office and permits 1 remote workday per week.
The ideal candidate will possess exceptional organizational, administrative, and communication skills, thrive in a fast-paced environment, and demonstrate a strong commitment to delivering outstanding client service. They will be capable of managing complex schedules, coordinating multiple files and deadlines, and serving as a key point of contact for clients, condominium corporations, property managers, and other stakeholders.
Duties and Responsibilities:
- Manage a high-volume practice inbox, prioritizing urgent correspondence, monitoring deadlines, and ensuring timely follow-up on client matters.
- Provide executive support to a partner, including complex calendar management, scheduling, and coordination of meetings, hearings, and client consultations.
- Assist lawyers with the day-to-day management of condominium law matters, ensuring files progress efficiently and client deliverables are completed on time.
- Manage monthly accounting activities for the practice, including trust deposits, billing pre-bills, wire transfers, expense tracking, and accounts receivable.
- Handle file opening and closing procedures and maintain accurate, organized, and up-to-date electronic and physical file management systems.
- Draft, edit, and prepare legal documents, correspondence, retainer agreements, reporting letters, and other condominium law-related materials.
- Liaise professionally with condominium corporations, property managers, board members, clients, opposing counsel, courts, government agencies, and other third parties.
- Deliver exceptional client service while maintaining the highest standards of confidentiality, professionalism, and communication.
Experience & Qualifications:
- Minimum five (5) years’ experience as a Legal Assistant or executive in a law firm setting with experience in Real Estate and/or Condominium Law;
- Legal Administration and/or Law Clerk Diploma considered an asset.
Knowledge & Skills:
- Experience with Teraview, NetDocuments (or other document management systems), and Aderant accounting software;
- Strong technical skills using Microsoft Office (Word, Outlook, and Calendar);
- Excellent oral and written communication skills;
- Solid understanding of business and legal terminology;
- Client-service oriented;
- Ability to work within a team environment and independently;
- Excellent organizational and time management skills; and
- Conscientious with strong attention to detail.

Compensation:
The expected annual salary range for this position is $73,001.00-$86,000.00. Compensation will be determined based on a variety of factors, including the successful candidate’s experience, skills, qualifications, and job-related knowledge. We are committed to equitable and competitive compensation that aligns with internal salary structures and external market benchmarks.
