Position Summary
Heron Lake BioEnergy is seeking a detail oriented and motivated Inventory Coordinator to support the activities of the Maintenance and Finance teams by administering the plant’s Computerized Maintenance Management System (Llumin), coordinating purchasing activities, ensuring the availability of parts and equipment, and supporting maintenance workflow efficiency across the facility.
This position works closely with the Maintenance Manager and Maintenance Department to assist with maintenance planning, scheduling, work order coordination, inventory optimization, and maintenance support activities that help maintain reliable plant operations.
The ideal candidate will have strong organizational skills, attention to detail, advanced Microsoft Excel skills, and experience working in an industrial or manufacturing environment.

Essential Duties & Responsibilities
Maintenance Coordination / CMMS Administration
- Administer, maintain, and improve Llumin CMMS activities
- Support continuous improvement and accessibility of the maintenance management system
- Coordinate maintenance scheduling and assist with prioritizing work orders
- Support planned maintenance activities and maintenance workflow efficiency
- Submit, monitor, and help manage work orders and service requests
- Assist with integration between Llumin and the accounting system
- Improve maintenance reporting functionality and reliability tracking
- Customize and maintain reports and tracking tools to support plant operations
- Maintain records, diagrams, specifications, instructions, and historical equipment documentation
- Maintain a list of plant maintainable assets
- Assist with maintenance projects as needed
Inventory / Purchasing Responsibilities
- Determine inventory requirements and pricing availability for parts and equipment
- Coordinate purchasing activities and supplier communication
- Maintain inventory control of parts and operational supplies
- Optimize spare parts inventory while supporting operational readiness
- Process requisitions and purchase orders in a timely manner
- Maintain vendor records related to deliveries, discrepancies, rejections, and paperwork accuracy
- Develop and maintain supplier relationships to support pricing, delivery, and quality expectations
- Create monthly inventory and purchasing reports for Plant Management and Finance
- Maintain annual operating cost records related to parts inventory
- Perform warehouse audits and investigate inventory discrepancies
Administrative / Operational Support.
- Ensure accountability of tools, equipment, and supplies
- Manage workload and shifting priorities efficiently
- Store, organize, and retrieve records and documentation
- Provide excellent customer service to internal and external contacts
- Maintain a clean, organized, and safe work environment
- Follow Company policies and written procedures
- Participate in maintenance, safety, environmental, quality assurance, and housekeeping programs
- Respond promptly to operational and employee needs

- Support team collaboration and knowledge sharing
- Initiate projects that improve efficiency and reduce operating costs
- Maintain technical knowledge through training, workshops, and professional development
- Perform other duties as assigned
Qualifications
Required:
- High school diploma or equivalent
- Strong computer and software proficiency
- Advanced Microsoft Excel skills including: spreadsheets, inventory tracking, reporting, data analysis, maintenance scheduling support
- Strong organizational, communication, and analytical skills
- Ability to work independently and within a team environment
Preferred:
- Two-year degree in Industrial Technology, Business, or related field
- 3–5 years of inventory, warehouse, purchasing, or maintenance coordination experience in an industrial environment
- Experience with CMMS systems, preferably Llumin
- Ethanol plant or industrial manufacturing experience
- Forklift certification or ability to obtain certification
Work Environment
This position operates in both office and industrial plant environments and may involve exposure to:
- noise
- vibration
- heat and humidity
- chemicals
- moving mechanical parts
- elevated work areas
- outdoor weather conditions
Essential physical requirements may include:
- standing and walking
- climbing stairs and ladders
- lifting materials
- operating warehouse or inventory equipment
Occasional evening and weekend work may be required during semiannual maintenance shutdowns.
