Position Summary

The HR Assistant provides administrative and operational support to the Human Resources team across recruitment, onboarding, employee relations, HR administration, and health and safety initiatives. This role is responsible for maintaining accurate employee records, supporting the employee lifecycle, assisting with HR communications, and ensuring HR processes are completed efficiently and confidentially.

The ideal candidate is organized, detail-oriented, employee-focused, and able to manage multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities

Recruitment & Onboarding

  • Assist with the recruitment process, including posting job advertisements, screening resumes, scheduling interviews, and coordinating with hiring managers.
  • Coordinate pre-employment requirements, including reference checks, background checks, and document collection, where applicable.
  • Facilitate employee onboarding by preparing orientation materials, coordinating new hire paperwork, and ensuring completion of onboarding tasks.
  • Assist in organizing and conducting new employee orientation sessions.

HR Administration

  • Update and maintain employee information within ADP, ensuring records remain accurate and current.
  • Assist with HR reporting, data entry, filing, and document management.
  • Maintain confidentiality of employee information and HR records.

Employee Relations

  • Serve as a first point of contact for general employee HR inquiries.
  • Assist in responding to employee questions regarding company policies, benefits, time-off requests, and HR procedures.
  • Escalate complex employee relations matters to the HR team as appropriate.
  • Support in coordinating meetings, investigations, and follow-up actions when required.

Employee Engagement

  • Assist in planning and coordinating employee engagement initiatives, recognition programs, wellness activities, and company events.
  • Prepare employee communications and HR announcements.
  • Support initiatives that promote employee satisfaction, engagement, and a positive workplace culture.

Health & Safety Support

  • Provide administrative support for Health and Safety programs and initiatives.
  • Assist with maintaining training records and scheduling mandatory safety training.
  • Support documentation related to workplace inspections, incident reports, and corrective actions.
  • Assist with maintaining health and safety records and ensuring required documentation is up to date.
  • Support the Joint Health and Safety Committee (JHSC) with meeting coordination, minutes, and documentation as required.
  • Perform other administrative and HR-related duties as assigned.

Qualifications

  • Diploma or Degree in Human Resources, Business Administration, or a related field.
  • 1–3 years of experience in Human Resources or an administrative role.
  • Experience in a manufacturing environment is considered an asset.
  • Experience using ADP Workforce Now or a similar HRIS is preferred.
  • Knowledge of the Ontario Employment Standards Act (ESA), Human Rights Code, Occupational Health and Safety Act (OHSA), and AODA.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong interpersonal skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Ability to work independently and collaboratively as part of a team.

Working Conditions

  • Office-based role within a manufacturing environment.
  • Occasional time spent on the production floor supporting onboarding, employee engagement activities, and health and safety initiatives.
