About the Position
We are seeking an experienced and highly organized ARB & Compliance Coordinator to oversee the architectural review and compliance processes for a master-planned community. This position requires a strong understanding of HOA operations, architectural review procedures, governing documents, and compliance enforcement.
This is not simply an administrative role processing architectural applications. The ARB & Compliance Coordinator manages the entire architectural review process from initial homeowner and builder inquiries through project completion and compliance verification.
The ideal candidate will possess exceptional attention to detail, strong critical thinking skills, sound judgment, and the ability to communicate effectively with homeowners, builders, board members, and community stakeholders.
Responsibilities
- Serve as the primary point of contact for homeowners and builders regarding architectural review requirements and procedures.
- Respond to pre-application inquiries and provide guidance on governing documents, design guidelines, and application requirements.
- Review architectural applications for completeness and accuracy prior to submission to the Architectural Review Board (ARB).
- Compile and prepare comprehensive ARB meeting packets, including builder plans, elevations, landscape drawings, specifications, and supporting documentation.
- Coordinate and support bi-weekly Architectural Review Board meetings.
- Maintain accurate records of applications, approvals, denials, conditions, and project status updates.
- Track approved projects through completion and ensure compliance with approved plans and community standards.
- Conduct compliance inspections and monitor adherence to governing documents and architectural guidelines.
- Issue notices of non-compliance to homeowners and builders when violations occur.
- Administer fines and enforcement actions in accordance with established fining schedules and governing documents.
- Issue Certificates of Compliance (COCs) upon successful completion of approved projects.
- Maintain organized electronic and physical records utilizing Microsoft Office and Adobe Acrobat DC Pro.
- Communicate professionally and diplomatically while resolving issues and addressing concerns from homeowners, builders, and other stakeholders.
- Perform additional compliance and architectural review duties as assigned.
Required Qualifications
- Previous HOA experience is required.
- Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Intermediate proficiency with Adobe Acrobat DC Pro.
- Strong understanding of architectural review processes and HOA compliance procedures.
- Ability to interpret and apply governing documents, architectural design guidelines, builder contracts, homeowner agreements, and fining schedules.
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills.
- Demonstrated critical thinking and problem-solving abilities.
- Ability to work independently with minimal supervision.
- Excellent written and verbal communication skills.
- Professional and diplomatic approach when handling difficult situations and personalities.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
Preferred Qualifications
- Experience working directly with Architectural Review Committees (ARC) or Architectural Review Boards (ARB).
- Experience in community association management, property management, or compliance administration.
- Familiarity with construction plans, site plans, landscape plans, and residential development processes.
