Position Overview:

We are seeking a competent Front Office Assistant to help with the organization and running of the daily administrative operations of our company’s front office. The successful candidate will be the first point of contact for visitors and clients, ensuring a positive customer experience and efficient office functioning.

Responsibilities:

Greet and Welcome Visitors:

Warmly welcome visitors to the office, ascertain the nature of their business, and direct them accordingly. Provide assistance, information, and guidance as needed.

Provide Administrative Support:

Assist with various administrative tasks including data entry, filing, scanning, photocopying, and faxing. Maintain office supplies inventory and place orders when necessary.

Handle Correspondence:

Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for pickup or courier services.

Maintain Reception Area:

Ensure the reception area is tidy and presentable with all necessary stationery and materials (e.g., pens, forms, brochures). Monitor and maintain security by following procedures and controlling access.

Assist with Special Projects:

Support various departments with special projects as needed, including event coordination, research, and other tasks.

Maintain Confidentiality:

Handle sensitive and confidential information with integrity and discretion.

Qualifications:

Proficient with Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., printers, scanners).Excellent

communication

and interpersonal skills with a professional demeanor.

Strong organizational and

multitasking

abilities.

Ability to

remain calm and composed under pressure.

High school diploma or equivalent
