Job Overview
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our organization. This role requires a professional with excellent administrative skills, attention to detail, and the ability to manage multiple priorities efficiently. The ideal candidate will serve as a key point of contact for internal and external stakeholders, ensuring smooth daily operations and effective communication within the executive team.

Duties

  • Manage and maintain the CEO’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
  • Handle correspondence via phone, email, and other communication channels with professionalism and courtesy, demonstrating strong phone etiquette.
  • Prepare, proofread, and edit documents, reports, presentations, and correspondence to ensure accuracy and clarity.
  • Perform data entry, filing, and record keeping using Microsoft Office Suite and DocuSign for electronic signatures.
  • Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping duties as needed.
  • Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing inquiries appropriately.
  • Support administrative projects such as organizing files, maintaining office supplies inventory, and supporting special events or initiatives.
  • Provide exceptional customer service to internal staff and external clients or partners.

Skills

  • Proven experience with office administration including clerical and administrative duties.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace, and data entry tools.
  • Experience with QuickBooks for bookkeeping purposes.
  • Excellent typing skills for efficient document preparation and data entry.
  • Familiarity with multi-line phone systems and front desk operations.
  • Attention to detail in proofreading documents to ensure accuracy.
  • Strong communication skills with professional phone etiquette.
  • Office experience combined with clerical or administrative background preferred. This position offers an opportunity to work closely with executive leadership in a dynamic environment that values professionalism, efficiency, and excellence in support functions.

Pay: $42,585.30-$90,691.75 per year
