Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. Duties

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements.
  • Prepare, proofread, and edit correspondence, reports, and presentations with precision.
  • Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
  • Perform data entry, filing, and document management using Microsoft Office Suite and DocuSign for electronic signatures.
  • Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions.
  • Coordinate front desk operations including greeting visitors and managing office supplies.
  • Support project coordination through organizational skills, ensuring deadlines are met and information is accurately maintained.
  • Provide exceptional customer service to internal teams and external clients, fostering positive relationships.
  • Assist with administrative tasks such as proofreading documents, managing files, and supporting office operations.

Experience

  • Prior office experience or clerical experience is preferred, demonstrating familiarity with administrative procedures.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and Office experience is essential.
  • Experience with QuickBooks for bookkeeping and data entry is highly desirable.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent typing skills for efficient document preparation and data entry.
  • Knowledge of multi-line phone systems and front desk operations is a plus.
  • Demonstrated professionalism in communication, including phone etiquette and customer service skills.
  • Experience with proofreading, filing systems, and electronic signature platforms such as DocuSign will be advantageous. This role requires a dedicated individual capable of multitasking in a fast-paced environment while maintaining a high level of accuracy and professionalism.

Pay: $44,387.39-$85,552.14 per year
