Event Planning Coordinator

Full Time Permanent

The Ontario Association of Chiefs of Policie (OACP) is the voice of police leaders in the Province of Ontario. We provide a channel for police leaders to share ideas and cooperatively create solutions to meet the challenges and opportunities facing police organizations in Ontario. Our association is not-for-profit, and we are based in Toronto, Ontario.

The OACP is seeking an Event Planning Coordinator to join our team. Reporting to the Director Administration & Member Services , you will be responsible for full range of event planning, management and on site delivery activities on behalf of the organization to support OACP Annual Meeting, as well as other over twenty (20) committee meetings, training sessions and seminars. The OACP is a small team, and this role will work with other team members to support other daily office functions.

Primary Responsibilities:

Prepares detailed plans for events/ projects including timelines, venue options, suppliers, and resources requirements (human, financial and materiel). Responsible for the monitoring and on-going evaluation of plans against timelines, budgets, and quality requirements

Develop and maintain a plan for each event in the Conference Manager System including payment processing.

Working collaboratively with the OACP staff during the 2024 Annual Conference including monitoring the critical path document.

Develop and monitor budgets for all events and where possible, identify cost savings, reconcile expenses and revenues at the conclusion of all events. Reviews and approves all event invoices and forwards invoices for payment.

Track and monitor event analytics and regular updates from the Conference Manager System to the Director.

Coordinate and provide support for events including liaising with contractors, equipment, event registration logistics, hospitality, travel, and accommodation arrangements prior to and during the event to ensure everything is in order.

Create, organize, distribute materials, brochures, and various event related communication/information materials. Liaise with print services, app developers/services, translation services to produce quality and bilingual event materials and sessions.

Manages event set up and responds to member/ delegate requests and inquiries and troubleshoots on the day of the event to ensure event and programs run smoothly.

Act as a liaison and lead, where appropriate, for OACP Committees in the planning and delivery of Committee events.

Develop a post event survey, conduct evaluation of events, and submit findings to Director for review.

Performs other administrative duties in support of the OACP office including support to the Communications Coordinator, creating and managing the OACP Annual Meeting website, and other related duties as assigned.

What you bring to the role:

A certificate in Event Management or an equivalent combination of education/experience;

Minimum 5 years related experience in planning and executing large and small scale events;

Excellent project management and problem solving skills;

Strong organizational and event management skills;

Excellent attention to detail and accuracy;

Excellent verbal and written communication skills in English;

Positive, friendly, and professional attitude;
