Role Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Head Office operations. This role is central to ensuring smooth communication and coordination between our Richmond headquarters and regional branches across Canada.

Key Responsibilities

  • Provide day-to-day administrative support to senior management and head office staff
  • Coordinate communication with regional offices, donors, and vendors as needed.
  • Maintain records, reports, and confidential documents (Physical and Digital filing)
  • Sorting and distributing incoming mail
  • Assist with data entry in front-end systems
  • Handle correspondence, emails, and phone inquiries professionally
  • Help schedule and onboard volunteers.
  • Assist with light bookkeeping tasks, including tracking and entering donations, managing petty cash, and preparing expense reports.
  • Other administrative duties as required

 

Minimum Requirements

  • Diploma or certificate in Office Administration or related field
  • 1–2 years of administrative experience (non-profit experience is an asset)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and as part of a team
  • High level of discretion and professionalism

Working Conditions:

This is a full-time, in-person position based at the Richmond head office, with regular on-site attendance required.

Additional Requirements:

  • A culturally sensitive understanding of the Muslim community’s needs is an asset
  • Physically able to lift up to 20 lbs for occasional stock handling.
  • Basic knowledge of CRM or donation management systems.
