Role Overview
Intelbyte is hiring a Data Entry Specialist to support an ongoing project.
In this role, you will support the project team by helping capture, validate, clean, and organize document-related information. You will work with document libraries, spreadsheets, forms, metadata trackers, and internal project tools to ensure that document records are accurate, complete, and ready for review, approval, and publication.
This is a strong opportunity for undergraduate students, interns, recent graduates, contract workers, or early-career professionals who want practical experience in data entry, document control, information management, compliance support, and digital transformation projects.
Key Responsibilities
Document Data Entry & Metadata Management
- Enter, update, and validate document metadata in project trackers, document libraries, spreadsheets, and internal systems.
- Review document records for missing, outdated, or inconsistent information.
- Support cleanup of document ownership, document contacts, titles, numbering, naming conventions, and classification fields.
- Track document status as files move through review, refresh, approval, and publication stages.
- Ensure document records are complete, accurate, and aligned with project standards.
Document Review Support
- Assist with reviewing documents for outdated references, terminology, branding, naming conventions, and formatting indicators.
- Identify references to legacy company names, systems, documents, websites, images, drawings, employee names, or other outdated content.
- Capture document references, regulatory references, qualification references, glossary terms, and other required information from document content.
- Flag inconsistencies, missing information, or items that require review by the project team.
Quality Control & Cross-Checking
- Cross-check entered data against source documents, trackers, and project instructions.
- Help maintain data accuracy across multiple document libraries and tracking tools.
- Support validation activities to confirm that document records, metadata, and review status are correctly captured.
- Identify duplicate, incomplete, or conflicting entries and escalate them for clarification.
- Follow project naming, formatting, and data entry standards consistently.
Administrative & Project Support
- Support the organization and flow of documents between working folders, review libraries, and publication-ready locations.
- Assist with preparing document packages for review and approval.
- Update trackers and reports used by the project team to monitor progress.
- Participate in team check-ins, status updates, and task reviews.
- Provide general administrative support related to document control and information management.

- Comfortable comparing documents, checking references, and spotting inconsistencies.
- Able to work independently while asking questions when clarification is needed.
- Reliable, professional, and able to manage repetitive but important tasks with focus.
- A strong communicator with good written and verbal communication skills.
- Interested in document control, data entry, compliance support, business operations, or technology projects.
Requirements
- Strong attention to detail and accuracy.
- Basic to intermediate Microsoft Excel skills.
- Familiarity with Microsoft Word, SharePoint, Teams, and file management.
- Ability to read and review business documents carefully.
- Good written and verbal communication skills.
- Ability to work in a hybrid environment in Calgary, AB.
- Availability for a 6-month contract term.

Nice to Have
The following are helpful but not required:
- Experience with data entry, records management, document control, or administrative support.
- Experience working with controlled documents, policies, procedures, or compliance-related documentation.
- Familiarity with SharePoint document libraries or metadata.
- Exposure to Microsoft Power Platform, Power Apps, Power Automate, or Power BI.
- Experience working in energy, utilities, engineering, construction, government, or regulated industries.
- Post-secondary education in business administration, information management, records management, engineering technology, computer science, or a related field.
