The Centre for Health Informatics and W21C Research and Innovation Centre in the Cumming School of Medicine invites applications for a Communications Assistant. This Full-time Fixed Term position is for approximately 6 months (based on length of grant funding), with the possibility of extension.
Reporting to the Director, Strategy and Impact for the Centre for Health Informatics and W21C Research and Innovation Centre, the Communications Assistant works under the direct day-to-day guidance of W21C’s Communications Advisor and supports the delivery of external communications, social media, and branding activities across both CHI and W21C. The position works within a collaborative team environment and operates within established guidelines and procedures, with priorities and work direction set by the Communications Advisor in alignment with the strategic direction of the CHI and W21C leadership.
Summary of Key Responsibilities (job functions include but are not limited to):
External Communications & Content Production:
- Support the development and distribution of external-facing communications materials, including newsletters, announcements, feature stories, and research highlights for CHI and W21C audiences
- Draft, edit, and proofread content for a range of channels and formats, ensuring accuracy, clarity, and alignment with brand standards and messaging priorities established by the Communications Advisor
- Coordinate the production of print and digital materials such as brochures, fact sheets, event invitations, and presentations
- Assist in maintaining and updating website content for both Centres, flagging outdated information and contributing new content as directed
- Support the development of knowledge translation materials that make research findings accessible to non-specialist audiences
Social Media Management:
- Manage and maintain the social media presence of CHI and W21C across relevant platforms (e.g., LinkedIn, X/Twitter, Instagram), in alignment with the communications strategy set by the Communications Advisor
- Develop and schedule regular social media content, including posts highlighting research outputs, events, team news, and partner activities
- Monitor social media channels for engagement, respond to comments or inquiries as appropriate, and flag items requiring escalation to the Communications Advisor
Branding & Marketing Support:
- Support the consistent application of CHI and W21C brand standards across all communications materials and channels
- Assist in the development and maintenance of branded templates, style guides, and asset libraries for use across both Centres
- Coordinate photography, graphic design, and audio/visual requests related to communications activities, working with internal or external providers as directed
Event Representation & Support:
- Attend internal and external events on behalf of CHI and W21C, serving as a knowledgeable and professional representative of both Centres
- Provide on-site communications support at events, including photography, social media coverage, and distribution of promotional materials
- Support event logistics in collaboration with the Program Operations Lead, including preparation of communications materials, signage, and participant-facing content
Qualifications / Requirements:
- Post-secondary degree or diploma in Communications, Public Relations, Journalism, Marketing, or a related field. An equivalent combination of education and experience will be considered
- 1-3 years of experience in a communications, marketing, or related role
- Demonstrated excellent written and verbal communication skills, with the ability to adapt tone and style for different audiences and channels
- Experience managing organizational social media accounts (LinkedIn, X/Twitter, Instagram, or similar platforms)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Familiarity with design tools such as Canva, Adobe InDesign, Piktochart, Illustrator, or Photoshop is an asset
- Experience with website content management systems (e.g., WordPress, Wix) is an asset
- Strong organizational skills and attention to detail
- Ability to work both independently and collaboratively within a team, managing multiple tasks with competing deadlines
- Professionalism, discretion, and respect in all interactions with internal and external partners
- Knowledge of the University of Calgary or an academic research environment is an asset
