About the position

We are seeking afull-timeOffice Coordinator to work in our Vancouver office. The Office Coordinator is the first point of contact for all staff, visitors, customers, suppliers, and couriers coming to Aquatic Informatics. Interpersonal, communication and time management skills are vital to this role along with a thorough understanding of the company ethos and direction which should be applied to all operational decisions and functions. This position reports into the finance department with a strong dotted line to HR.

This position will be based 1 day in the office and will be mostly remote. Associates often meet in the Vancouver office for team building activities and face to face meetings and you will be expected to be in the office to help coordinate these in-office events.

In this role you will:

Office Coordination (25%)

Serve as the first point of contact for staff, customers, vendors and visitors.

Coordinating the daily operations of our office, including but not exclusive to:

Liaising with building management

Office organization & improvement

Clerical duties include filing, copying, scanning, collecting and distributing mail

Manage phone calls and correspondence (e-mail, letters, packages etc.)

Manage relationships with office suppliers and vendors.

Order, maintain and restock office and kitchen supplies.

Arrange catering for company events and meetings.

Continuously look for new local suppliers to support where possible and help reduce our carbon footprint while being mindful of the budget.

Collaborating with the Shared services teams (HR, Finance & IT) on onboarding & offboarding processes
