About the Position:

Are you passionate about youth sports? Are you organized, communicative, and skilled at computer work? The Powell River Youth Soccer Association is looking for a part-time administrator. Work from home according to your own schedule and help soccer thrive in our region!

Position Summary:

The Administrator works in conjunction with the Board of Directors and the Technical Director to ensure the efficient operation of all club activities and delivery of PRYSA programs.

Qualifications:

  • Previous administrative experience (1-3 years) required.
  • Familiarity with soccer is preferred.
  • Effective communication skills – both verbal and written – for meetings, email correspondence, and in-person business.
  • Efficient computer skills with Google Workspace and ability to learn new software that includes player registration, website maintenance, and game reporting.
  • Basic knowledge of financial management including the use of QuickBooks Online.
  • Efficient administrative and organizational skills.
  • Ability to prioritize and meet weekly, monthly, and annual deadlines.
  • Attention to detail and ability to work with little or no supervision.

Duties and Responsibilities

Policies & Procedures

  • Have a complete understanding of, and ensure the Club operates according to, the Constitution and Bylaws of PRYSA.
  • Have a complete understanding of, and ensure the Club operates according to, all other Club policies, procedures and curriculum documents.
  • Maintain and keep updated club documentation regarding our Constitution, Bylaws, Policies and Procedures, and Roles and Responsibilities.

Operations

  • Ensure the efficient operation of all club activities and delivery of PRYSA programs.
  • Manage club programs with regard to registration, payments, and any requirements required by UISA and BC Soccer.
  • Act as scheduler for PRYSA programs and be the contact for game or field cancellations.
  • Act as scheduler for referee assignments.
  • Take responsibility for checking the PO Box and directing mail as appropriate.

Accounting

  • Have a basic understanding of club accounting practices.
  • Process all accounts receivable and accounts payable, including writing of cheques.
  • Make entries into the accounting system.
  • Ensure payroll is processed and taxes remitted monthly.
  • Work with the Treasurer and accounting firm for the preparation of year-end financial statements.
  • Work with the Treasurer to ensure the club is in good standing as a non-profit society, inclusive of providing required documentation.

Registration

  • Maintain the registration system including creation of program registration, providing assistance to membership and registration reports for both youth and adult volunteers.
  • Work with the Coaches and UISA to aid with team declarations for leagues, team roster submissions, and creation of player IDs.
  • Coordinate with the Risk Compliance Manager and the Technical Director to ensure risk management protocols are met, inclusive of criminal record checks.
  • Assist in establishing and coordinating additional courses, such as referee and coaching courses.

Communication

  • Ensure documents are updated and posted to the website.
  • Maintain the website including the management of documents, calendars, and sponsorship logos and maintenance of the general appearance and layout.
  • Maintain current, timely and complete communication with our Directors, Coaches, parents and players with regard to operational documents, general information, Club programs and upcoming events via our website and direct communication.
  • Maintain communication with Directors to ensure understanding and execution of activities required for programs within their role including deadlines, notifications and documentation.
  • Manage information requests received through our website, mail and any other channels in a timely manner, either directly or by sending the request to the appropriate Director or Technical Director.

Board

  • Identify agenda items, organize information and participate in scheduled PRYSA Board of Director meetings.
  • Maintain and keep current an ongoing calendar of PRYSA activities and events, and bring items forward at monthly meetings to be addressed by the PRYSA Board and Directors.
  • Act as the liaison between PRYSA and the public, parents, coaches, and other members.

Provisions

  • PRYSA will supply office supplies (paper, toner, photocopier, etc.) or a reimbursement for the use of such supplies.
  • The Administrator shall be responsible to provide a suitable home office.
  • PRYSA will supply a laptop computer and software for use in conducting PRYSA business.
  • The Administrator shall work the hours necessary to complete the work as directed by the Board of Directors and program requirements. This necessarily involves fluctuations based on the time of year and the programs in session.
