Our client in Mississauga, A Canadian-owned Ethnic Food Planning Company is looking for an Executive Assistant to support their COO with their day-to-day. This role is a 12-month contract and is 100% on site.

Responsibilities:

Manage and organize office operations and procedures.

Coordinate and schedule meetings, appointments, and events.

Prepare and distribute documents, reports, and correspondences.

Maintain and update filing systems, databases, and records.

Answer and direct phone calls, emails, and inquiries.

Handle incoming and outgoing mail and packages.

Assist in the onboarding of new employees.

Support project planning, execution, and completion.

Collaborate with team members to gather project requirements.

Track project expenses and maintain budget records.

Prepare project status reports and updates.

Organize and participate in project meetings.

Serve as a point of contact for internal and external stakeholders.

Coordinate

communication

between various departments.

Draft and edit internal and external communications.

Coordinate travel arrangements for team members.

Arrange accommodations and transportation for events or meetings.

Compile and analyze data for reporting purposes.

Maintain accurate and

up-to-date

project and administrative records.

Generate and distribute regular and ad-hoc reports as needed.
