The Grande Prairie Fire Department is looking for an outgoing and professional Administrative Assistant to join their dynamic team.
Reporting to the Fire Chief, you will provide excellent customer service to both internal and external customers while promoting the City of Grande Prairie’s guiding beliefs. This position will encompass a variety of administrative and coordination duties and is an integral part of the departments organization.

Your Key Responsibilities
You will be responsible for providing administrative support in the following areas:
Collect, compile and assemble reports and statistics for department’s emergency services.
Coordinate meetings, assemble agendas, record and transcribe minute, record follow-up action and maintain records of outstanding items.
Amend and maintain departments governance documents.
Process account receivable invoices for the departments various revenue streams.
Process requisitions for department expenditures.
Provide back up support for departments payroll.
Provide support to the departments health & safety program.
Coordinate community educational programs.
Inventory maintenance.
You Will Need
This Education & Experience
Office Administrative Certificate or Diploma or 3 years of relatable experience in a fast paced environment. Equivalent experience or education may be considered.

Providing strong written and verbal communication
Supporting leadership in complex environments
Payroll reconciliation
Reviewing capital and operational budgets
Grant management and reporting
Time management, problem solving and analytical skills
Ability to self manage tasks and delegate as required
Flexibility to meet and prioritize workloads, as priorities change
Maintaining a high degree of confidentiality
Ability to support senior management and meet the strategic demands of the department
Experience working with complex payrolls including, in-scope and out of scope employees
Ability to make sound decisions independently and exercise good judgement
Ability to exercise political and business acumen
Ability to perform administrative functions at a generalist level with excellent organizational skills and attention to detail
Ability to supervise and delegate
Advanced understanding of office functions through Microsoft Office Suite, and other supporting software such as Adobe, Oracle, UKG, Vector Solutions and Aladtec
