Major Responsibilities:
Performs specialized administrative tasks, including preparing, investigating, researching, reviewing, reconciling, controlling and coordinating various documentation and processes in court administration.
Analyzes varied problems assocaited with court and tribunal administrative processing.
Ensures cashier reports, interpreter/witness reports, interpreter invoices, court dockets and floats are balanced and cash secured.
Ensures and checks the preparation and processing of documents in accordance with appropriate policies and legislation.
Ensures service delivery of the unit and monitors/controls unit work standards.
Reviews processes/work for accuracy, prior to authorizing.
Identifies and recommends modifications and oversees implementation of changes.
Assists with operational programs and related functions.
Administers, prepares, processes and composes documents, statistical summaries and reports, as well as court and tribunal orders requiring interpretation and application of specialized administrative/accounting practices.
Ensures accuracy, completeness and conformity with regulations, statutes, policies and procedures.
Interprets and applies regulations and practices.
Prepares calculations and analysis of data.
Complies data for forecasting/budgeting and reports.
Reconciles deposits/issues accounts for invoices, logs, cash and statements.
Provides work direction, coordination, training and guidance to assigned staff.
Ensures that an appropriate level of competence and service is being met by front line staff.
Operates computers utilizing and manipulating a variety of software packages.
Prepares and/or presents presentation materials.
Provides information and guidance to staff, councillors, the public, agencies, local boards, other levels of government, etc. orally or in writing.
Attends meetings and hearings and acts as the division and/or unit representative.
Signs documents as a representative of the corporation.
Reviews, coordinates, responds to and approves applications/plans from the public.
Coordinates meetings, events and schedules.
Takes/transcribes minutes.
Liaises with and exchanges information with all levels of staff, judicairy, local board members, legal and the public.
Applies applicable policies, procedures, interdepartmental processes, relevant regulations and other criteria.
Responds to detailed enquiries and complaints and takes appropriate and immediate action in situations escalating to ensure resolution and to preserve security and integrity.
Identifies and prepares detailed notations, regarding complaints and potential conflict of interest situations.
