Position Summary

The Sr. Administrative Assistant (SAA) is responsible for working collaboratively with the administrative team to ensure the effective operations of the office and will provide administrative support to the firm owner. The SAA is self-motivated and able to proactively anticipate the administrative needs of a team.

Position Type: Full-Time, Permanent, Onsite

Hours: Monday to Friday, 8:30-5:00 (and availability for after hours events)

Key Responsibilities

A Sr. Administrative Assistant will spend most of their time:

Supporting the firm owner with administrative, professional and personal support duties including but not limited to:

o Creating and maintaining spreadsheets and other business strategy and development initiative requirements

o Managing calendars and scheduling

o Serve as the primary and first point of contact for all stakeholders, including executives, staff, customers, and any other third parties.

o Respond to phone calls and convey messages and information to the appropriate party.

o Ensure that all our customers’ queries and concerns are handled diligently and with care.

o Draft, review and send communications on behalf of the firm owner.

o Organize and schedule meetings.

o Responsible for confidential record retention and destruction.

o Create memos, emails, presentations, and reports that are easy to read for both internal and external audiences.

o Take minutes at meetings, as requested.

o Screen and direct phone calls and distribute correspondence.

o Plan and organize events or meetings.

o Additional related duties as assigned.

Supporting the Office Coordinator in:

o Providing direction and oversight to the Administrative and Reception team

o Overseeing reception, file room activities, scheduling, and potential new client (PNC) operations,

o Coordinating office logistics

o Overseeing, creating and updating technological administrative procedures

o Coordinating video interviews

o Coordinating events in conjunction with HR & Office Coordinator

o Reception coverage & central line overflow

o Other responsibilities as assigned

Requirements

· 3+ years of experience working in a professional administrative role and/or relevant education

· An aptitude for using various software packages such as Microsoft Suite and other technological applications

· Experience in a multi-entity business environment that is entrepreneurial and dynamic.
