Job Description
This role supports a busy shipping department by coordinating outbound and inbound shipments, preparing all required documentation in JDE, and providing administrative support in a fast-paced industrial environment. The Shipping Administrator works closely with the Shipping Supervisor, lead hand, loader operators, and customer service representatives to ensure accurate, timely, and safe movement of goods for both domestic and international customers.
Responsibilities
- Organize trucks and couriers for outbound shipments and ensure all loads are scheduled efficiently.
- Create pick slips, pack slips, and all required shipping documentation in JDE for domestic and international shipments.
- Use the Transportation Management System (TMS) to tender loads to carriers and confirm carrier arrangements.
- Communicate proactively with the customer service team and other departments to coordinate shipping activities and resolve issues.
- Pre-call customers before shipping to confirm details, requirements, and delivery expectations.
- Receive products and materials in JDE that are delivered to the manufacturing site and ensure accurate system entries.
- Arrange outbound shipping of maintenance and production department equipment, parts, and quality control samples.
- Occasionally arrange inbound shipments for production and other departments as needed.
- Assist with finished goods cycle counts and provide stock checks for the shipping and customer service teams.
- Support the Shipping Supervisor in assigning and prioritizing customer shipments to hourly loader operators.
- Provide general administrative support to the shipping team, including scanning and organizing shipping and receiving documents.
- Perform other duties as assigned by the Shipping Supervisor to support overall shipping operations.
- Plan loads and process all shipping documents for domestic and international shipments in compliance with company procedures.
- Assist with customer returns, including documentation and coordination with internal stakeholders and carriers.
- Code freight invoices in a third-party software program and ensure accurate allocation of freight costs.
- Provide vacation coverage and backup support within the shipping department when required.
- Communicate frequently over radio throughout the day to coordinate activities with team members on the floor.
- Maintain organized records and documentation to support audits, reporting, and continuous improvement initiatives.
Essential Skills
- Minimum 1+ years of experience in an administrative role within a fast-paced environment.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Strong data entry skills with high attention to accuracy and detail.
- Experience with shipping, receiving, purchase orders, and invoicing processes.
- Ability to work effectively in a shipping, manufacturing, or inventory-focused environment.
- Strong verbal and written communication skills, including the ability to communicate clearly over radio throughout the day.
- Organized and detail-oriented approach to managing multiple tasks and documentation.
- Professional communication style and ability to interact effectively with internal and external stakeholders.
- Ability to multitask and manage competing priorities, such as handling stakeholder requests while phones are ringing.
- Reliable transportation to the office, as public transit is not available to the site.
- Demonstrated ability to work collaboratively as part of a team.
- Ability to build trust and rapport easily with colleagues and partners.
Additional Skills & Qualifications
- Diploma in administration or a related field.
- Experience in a manufacturing or warehousing environment.
- Experience working with ERP platforms such as JDE, SAP, or TMS.
- Familiarity with purchasing, inventory, and manufacturing processes.
- Experience in an industrial shipping and receiving setting.
- Ability to extend beyond a 6-month contract term, with strong preference for candidates open to longer-term engagement.
- Demonstrated safety-first mindset and adherence to safety procedures.
- Strong team player who contributes positively to a collaborative, unionized environment.
Work Environment
This is an in-office role based in an industrial environment within a manufacturing site. The position follows a Monday to Friday schedule from 8:00 . to 4:30 . Parking is available on-site, and there is no public transit service directly to the office, so reliable personal transportation is required. The successful candidate will work closely with the Shipping Supervisor and the lead hand on the floor as part of a team of approximately 15 people.
