About the Role

We are looking for a Senior HR & Admin Specialist to join our North America team on a contract basis. This is a remote role based in Toronto, Canada, supporting both our Canada and US teams. The role focuses primarily on talent acquisition and HR business partnering, working closely with business leaders to build and support high-performing teams across North America during a critical growth period.

This role spans multiple functions and requires someone who thrives in a fast-paced, multi-tasking environment, comfortable juggling recruitment, HRBP work, operations, and administrative responsibilities in parallel.

Key Responsibilities

Talent Acquisition (Primary Focus)

  • Own full-cycle recruitment across both Canada and US markets: sourcing, screening, interviewing, offer negotiation, and onboarding
  • Partner with hiring managers to define role requirements and build healthy candidate pipelines through LinkedIn, referrals, and proactive sourcing
  • Manage hiring metrics and continuously optimize recruitment process and candidate experience

HR Business Partnering (Primary Focus)

  • Serve as a strategic HR partner to business leaders across Canada and US on organizational design, workforce planning, and team effectiveness
  • Advise managers on performance management, employee relations, coaching, and employee lifecycle events
  • Champion engagement initiatives and act as a trusted point of contact for employees on HR-related matters

HR Operations & Compliance (Supporting)

  • Ensure day-to-day HR compliance in Ontario (Canada) and California (US); partner with the Legal team on matters in other jurisdictions
  • Support payroll processing and benefits administration across Canada and US in coordination with relevant teams
  • Contribute to the development and implementation of HR policies and procedures

Office & Administrative Support (Supporting)

  • Support office lease and facility coordination in Toronto, including vendor management and on-site needs when required
  • Handle administrative tasks such as purchasing, travel arrangements, and documentation in a remote-first setup
  • Organize virtual and in-person team activities to support team cohesion across a distributed North America workforce

Qualifications

Required

  • Must be based in Toronto, Canada, with the ability to support on-site office needs when required
  • Bachelor's degree in Human Resources, Business Administration, or a related field
  • 5+ years of progressive HR experience, with proven track record in full-cycle recruitment and HR business partnering
  • Solid working knowledge of employment laws and HR practices in Ontario (Canada) and California (US); ability to collaborate with Legal on other jurisdictions
  • Strong ability to multi-task and manage competing priorities across multiple functions in a fast-paced environment
  • Experience working effectively in a remote or distributed team environment
  • Strong stakeholder management skills with the ability to influence and advise at all levels
  • Familiarity with payroll processing and HRIS systems
  • Bilingual in English and Mandarin (required for cross-regional collaboration)
  • Excellent communication, interpersonal, and problem-solving skills
  • High level of integrity and discretion in handling confidential information
  • Self-starter with a proactive, business-oriented, and results-driven approach

Preferred

  • Prior experience in Technology, Internet, SaaS, or AI companies
  • Experience supporting fast-growing teams in a multinational or cross-cultural environment
