Responsibilities

Cover reception for office Hours (8:30 – 5:30pm)

Greeting visitors and delivering world-class service to our customers

Coordinating appointments and meetings and managing staff calendars and schedules

Purchasing office supplies and equipment and maintaining proper stock levels

Supply orders – to be placed for delivery to the office

Purchases for social events and general office

Coordination of all social events for the office (organize, implement, tear down)

Ordering Refreshments and re-stocking

Mid-year/Year-end inventory

Building maintenance and office clean up

Ensure overall office is clean and presentable

Coordination with property manager

Coordination of floorplan for new hires and changes

Coordination of furniture moves

New hire onboarding/Departure collection of equipment

Manage parking spots and give out parking passes

Coordination with IT on equipment

Maintain office safety and security

Mail, shipping and receiving

Grocery Inventory

Submit office expenses through payable platform

Complete cash sheets monthly

Deposit cheques that are received to the office

General Support

Perform a variety of administrative and clerical office support activities for multiple staff

Coordinate and schedule internal and external meetings, appointments, travel, training, and facilities booking

Expense entry and processing

Event planning and coordination

Organize and set-up for all social events

Administrative Support

E-signing tool (One Span)

Calendar and meeting management

Travel planning and reservations

Expense entry and processing

Event planning and coordination

Facilities booking for client/internal events

Meal ordering for client/internal events

Membership tracking and renewals

Electronic filing

Contract management

Proof reading

Skills and Experience

Exceptional verbal and written communication skills

Highly organized in prioritizing work and multi-tasking

Completion of related post-secondary education in administration is an asset

Entry level role, 1 or more years of related administrative experience is considered an asset

Demonstrated computer literacy including effective working skills of Microsoft Word, Excel and PowerPoint (Visio would be an asset)
