Allied Psychological Services (APS) is an association of professionals with a diverse range of experience and expertise. Our team can provide psychological treatment, psychotherapy, assessment, crisis support and consultation.

About position

This is a part-time position that will require you to be physically present working out of our Oakville office Monday to Thursday, some Fridays with the potential to move to 5 days a week.

Main duties will include initial contact with clients, responding/generating emails, coordinating appointments, creating and updating client profiles, postal and courier mail. You will need to be able to communicate professionally and effectively with other professionals including contract providers, office staff, lawyers, parole/probation officers, insurance companies.

We have a small office staff, and you will need to work with other staff members to assist with invoicing and other financial issues as well as other office admin duties when needed.

Reporting Relationship

You will report directly to the Office Manager who will be your direct supervisor.

You will also work closely with directors in and out of the Oakville office. You will work with other staff to ensure the smooth running of the office.

We are seeking an experienced and organized individual to work Monday to Thursday, with the possibility of moving to full time, in office to deliver high quality service to our employees and clients.

The responsibilities of the role include, but are not limited to:

· Welcome visitors, clients, and staff in a friendly, positive, and professional manner.

· Answer multi-line phone with professionalism and enthusiasm, direct calls to appropriate personnel.

· Sending mail, registered letters, and other forms of communication

· Scheduling and managing calendars for Directors and contractors.

· Coordinate and execute company events such as employee events and client appreciation initiatives.

· Assist with coordination of meetings and conferences and book travel arrangements.

· Maintaining the reception and common areas to always look neat and professional.

· Ordering, receiving, and organizing all office supplies.

· Perform other clerical duties as needed!

· Managing social media and marketing platforms (e.g., company website, Instagram, Facebook, LinkedIn, Psychology Today)

· Monitoring procurement opportunities

· Coordinate and manage Intake for both offices with the Intake Coordinator.

· Work closely with the Directors.

Job Types: Full-time, Part-time

Pay: $19.00-$21.00 per hour

Expected hours: 32 – 35 per week
