THE ROLE:Westcap is seeking an enthusiastic, self-motivated individual to join our professional and dynamic team. In this diverse role, you will manage the operations of the front office and support the team in various administrative functions. Through a variety of tasks related to organization and communication you will be a key component to the team to ensure office efficiencies.

The responsibilities of the Receptionist will include, but are not limited to the following:

· Act as the first point of contact with clients in person, over the phone and via email; responding to and directing questions and enquiries appropriately

· Prepare and send a variety of correspondence (i.e. emails, memos, etc.) using MS Office

· Assist with maintenance of internal Customer Relation Management (CRM) system

· Coordinate and distribute all incoming and outgoing mail and couriers

· Manage inventory of office supplies and order appropriately to ensure sufficient supply

· Conduct manual and electronic filing as well as scanning of various documents

· Provide general administrative support to team members (i.e. make travel arrangements, register for events, etc.)

· Maintain calendar for internal meeting rooms and assist with room preparation and catering requirements

· Liaise with third party vendors to ensure working order of office equipment and general office maintenance

The successful candidate will possess the following qualifications:

· Outgoing, positive personality with a calm, courteous and professional demeanor

· Effective written and oral communication skills

· Exceptional attention to detail and accuracy

· Strong organization skills with the ability to prioritize tasks in order to meet deadlines

· Responsible, reliable and self-motivated

· Familiarity with MS Office (Word, PowerPoint, Excel and Outlook)

· Ability to work independently

The following would be considered assets:

· Completion of an office administrative course from a recognized business college/post-secondary education or previous experience in a similar position

· Knowledge of or experience within the financial industry
