About the Role
We are a growing real estate and investment firm seeking a sharp, organized Administrative Assistant to support daily operations across our expanding property portfolio.
This is a high-impact, hands-on role — not a passive support position. You’ll work directly with senior leadership, manage critical communications, coordinate property operations, and help keep a fast-moving business running smoothly. Key Responsibilities
Administrative & Office Management
• Manage high-volume email communication and maintain organized inbox systems
• Scan, upload, and maintain digital files including leases, notices, invoices, and reports
• Prepare and format professional documents using Word, Excel, and Adobe Acrobat
• Track deadlines, key dates, and outstanding items across multiple properties
Property Management Support
• Coordinate Pre-Delivery Inspections (PDIs), key pickups, and walkthroughs
• Communicate professionally with tenants, property managers, and building representatives
• Draft and respond to tenant inquiries, notices, and follow-ups
• Assist with move-ins, move-outs, and lease documentation
• Maintain accurate, up-to-date tenant and property records
Communication & Coordination
• Liaise with lawyers, real estate agents, contractors, and accountants
• Draft polished correspondence on behalf of senior management
• Follow up on outstanding tasks and ensure timely completion across teams
• Coordinate schedules, appointments, and property-related logistics
Document & Transaction Support
• Prepare and send documents via DocuSign
• Review documents for accuracy, completeness, and compliance
• Assist with closing packages, reports, and supporting documentation
• Maintain a well-organized, audit-ready digital filing system
What We’re Looking For
We’re looking for someone with proven experience in at least one of the following areas:
Real Estate / Property Management
• Hands-on experience with tenant communication and property operations
• Familiarity with leases, PDIs, and move-in/out processes
• Exposure to platforms such as DoorLoop, Google Drive, Gmail, Excel, or other property management softwares
Required Skills & Tools
• Microsoft Outlook, Word, and Excel — strong proficiency required
• Adobe Acrobat and DocuSign
• Google Workspace (Drive, Docs, Sheets)
• Excellent written and verbal communication
• Highly organized with exceptional attention to detail
• Ability to multitask, prioritize, and meet deadlines independently
• Professional, discreet, and reliable in all interactions
• Tech-savvy with the ability to learn new systems quickly
