We’re looking for a Scientific Project Coordinator to join our team. As a Scientific Project Coordinator, you’ll work closely with the President, Lab Manager, and Data Manager to keep our team in sync and meeting our client’s project requirements from beginning (quotation) to end (invoicing). You’ll take direct responsibility for project planning and prioritization, and collaborating with our laboratory team to deliver work on time and on budget. The person filling this position will be responsible for overseeing our plankton projects.

Key Qualifications

· Bachelor’s degree in Biology, Ecology, or a related field of biological sciences required

· Diligent, Curious, Collaborative

· Relevant experience in environmental consulting or laboratory-based work is considered an asset

· Strong understanding of laboratory and field processes involved in generating high-quality taxonomic data in marine and/or freshwater ecosystems

· General understanding of experimental design, biomonitoring programs, or environmental monitoring objectives

· Experience coordinating or supporting scientific or technical projects, ideally in a taxonomy, ecology, or high-throughput production environment

· Experience preparing or supporting quotes, estimates, or project scopes, including working with incomplete or evolving information

· Proactive and solution-oriented, with a tendency to identify issues early and take initiative to bring forward practical solutions

· Strong attention to detail and commitment to accuracy

· Collaborative and able to work effectively with both technical and non-technical team members

· Clear and professional communicator

· Able to work independently while exercising sound judgment

· Adaptable and comfortable working in a dynamic, fast-paced environment

· Able to think critically under pressure while maintaining scientific integrity

· Ability to work independently with limited supervision.

Key Duties

Client & Project Responsibilities

· Serve as the primary point of contact for assigned projects, maintaining clear and professional communication with clients

· Develop quotes based on client needs, protocols, and historical context

· Build an understanding of client requirements and ensure they are accurately reflected in project planning and delivery

· Provide guidance to clients on project requirements, including field procedures and protocols where needed

· Generate and deliver precise and timely invoices to clients, ensuring adherence to project timelines and contractual obligations.

· Collaborate with clients and the Lab and Office Assistant to coordinate the storage, return, or disposal of samples upon project completion, ensuring adherence to project requirements and regulations

· Contract Management Support

Project Ownership & Coordination

· Oversee projects from quote through to final delivery, ensuring continuity and clear ownership throughout

· Coordinate closely with laboratory staff to ensure project requirements are understood and executed appropriately

· Monitor project progress and timelines, adjusting plans as needed based on changing conditions

· Identify issues early and work collaboratively to resolve them, bringing forward practical solutions

· Ensure projects are set up clearly at initiation, including confirming scope, requirements, and timelines

· Ensure projects are properly closed out, including confirming deliverables are complete and key issues are documented

· Create and maintain project documentation, including project plans, status reports, meeting minutes, and other relevant records; ensuring that all documentation is accurate, up-to-date, and accessible to team members

Planning & Resourcing

· Conduct preliminary assessment of project scope, complexity, and resourcing needs

· Work with laboratory and field teams to align project timelines with capacity and priorities

· Support ongoing awareness of workload and capacity within assigned service area

· Monitor Bidding Sites and/or opportunity postings, and prepare responses for Proposals (RFPs, Standing Offers, etc.)

Collaboration

· Work closely with laboratory managers and technical staff to ensure alignment between client expectations and operational realities

· Contribute to a collaborative and accountable team environment

· Support consistency in how projects are planned and delivered

Pay: $23.00-$28.00 per hour
