The Opportunity:

First Work is looking for an individual to take on the role of the Project Administration Officer. The individual will play a key role in supporting First Work’s multiple projects and initiatives across Ontario.

The successful applicant will demonstrate sound judgment, be flexible and willing to learn and adapt to different work assignments in a team setting.

Key Responsibilities:

Collaborate with projects team members to define project scope, goals, and deliverables.
Monitoring project plans, project schedules, budgets and expenditures.
Preparing necessary internal and external summary reports.
Organize, attend, and participate in stakeholder meetings and ensure stakeholder views are managed towards the best solution.
Documenting and following up on important actions and decisions from meetings.
Ensuring project tasks/deadlines are met and adapting to project changes.
Coordinate and schedule meetings, workshops, and other project-related events, ensuring effective communication among team members.
Developing project strategies and assist in drafting project proposals.
Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
Assist in tracking project timelines, milestones, and deadlines, and provide regular updates to the project team and stakeholders.
Assess project risks and issues and provide solutions where applicable.
Lead and facilitate meetings where appropriate and distribute minutes to all project team members.
Assist in the development and implementation of project management processes and best practices.
Undertaking project tasks and providing administrative support as required.
Conduct research and gather data to support decision-making and project planning.
Assist the Project team in administrative duties and processes.
Act as a liaison between different project teams, departments, and external partners.
Collaborate on stakeholder presentations.
Ensure compliance with organizational policies, procedures, and standards throughout the project lifecycle.
Contribute to the preparation of project status reports and presentations for management and stakeholders.
Ad hoc tasks as assigned.

We want to hear from you if you have:

Personal or professional experience is preferred (co-op, projects, volunteer, etc).
Have excellent customer services skills with both internal and external stakeholders.
Have superior organizational skills, with the ability to multi-task, in a fast-paced environment.
Working knowledge of Microsoft Office 365 (Word, Excel, Powerpoint, Outlook, Sharepoint), Zoom, and SurveyMonkey are considered assets.
