Project Accountant
Kirsten Reite Architecture (KRA) is hiring a Project Accountant to support accurate, timely project billing and project financial reporting in a collaborative, design-focused studio environment. You’ll work closely with Project Managers and the finance team to help keep projects set up correctly, invoices issued on time, and project performance clearly tracked.
Work arrangement: Hybrid with remote work one day per week.
What you’ll do
· Set up new projects and EWAs, maintain project structures, and keep contract values and budgets current.
· Prepare monthly client invoices, including subconsultant and reimbursable billings.
· Support month-end revenue recognition and WIP analysis.
· Coordinate monthly project reviews and provide clear reporting/variance analysis.
· Support A/R monitoring and help resolve invoice questions.
What you’ll bring
· Degree in Accounting/Finance (CPA or progress toward CPA is an asset).
· 3+ years of project accounting experience (professional services/AEC is an asset).
· Strong Excel skills and comfort working across multiple deadlines.
· Experience with Deltek Vantagepoint (or similar accounting software) is an asset.

Role Summary
The Project Accountant manages the financial aspects of architectural projects, including project setup, invoicing, revenue recognition, cost tracking, and reporting. This role supports accurate and timely billing while ensuring compliance with accounting standards, internal controls, and company policies.
Working closely with Project Managers and the finance team, the Project Accountant plays an important role in monitoring project financial performance, identifying risks and issues,
and supporting informed project decision-making. The role provides exposure to projects of varying sizes within a collaborative, design-focused professional services environment.
Reporting Relationship: Reports to the Accounting Manager / Director of Finance and works closely with Project Managers and Studio Leadership. This position offers a hybrid work arrangement, with the flexibility to work remotely one day per week.
Key Responsibilities
Project Setup and Maintenance
· Set up new projects and Extra Work Authorizations (EWAs) in the accounting software.
· Review contracts, fee letters, and amendments to ensure accurate project setup.
· Ensure project structures, billing terms, and fees are entered correctly and consistently.
· Maintain up-to-date project records, including contract values, EWAs, and amendments.
· Update project budgets, phases, and subconsultant allocations as required.
Invoicing
· Prepare accurate and timely monthly project invoices.
· Coordinate with Project Managers to review and finalize draft invoices.
· Process subconsultant and reimbursable expenses for client billing.
· Ensure invoices comply with contract terms and client-specific billing requirements.
· Ensure applicable tax compliance based on project location.
Revenue Recognition and Work-in-Progress (WIP)
· Prepare month-end revenue recognition calculations and input the entries.
· Review and analyze project WIP on a monthly basis.
· Analyze project financial performance against budgets and forecasts.
· Proactively identify potential project overruns, revenue risks, or invoicing issues and escalate as appropriate.
Accounts Receivable Support
· Support the Senior Accountant in monitoring Accounts Receivable balances.
· Assist with client follow-ups on outstanding invoices when required.
· Address and resolve client inquiries related to billing.
Subconsultant and Expense Tracking
· Review, process, and track subconsultant invoices related to projects.
· Ensure consultant costs are accurately recorded to the appropriate projects and phases.
· Track reimbursable expenses and ensure they are billed to clients in accordance with contract terms.
Project Reviews
· Lead and coordinate monthly Project Review meetings with Project Managers.
· Preparation of financial project analysis and materials.
· Update and maintain the Project Reviews file.
· Support Project Managers in understanding project financial metrics, KPIs, and budget performance.
Reporting, Analysis, and Year-End Support
· Prepare monthly project status and performance reports.
· Provide variance analysis on project budgets versus actual results.
· Prepare ad-hoc financial and project reports as required.
· Assist with year-end close processes and audit support as needed.
· Ensure adherence to internal controls, accounting policies, and applicable financial regulations.
Collaboration & Stakeholder Engagement
· Collaborate with Project Managers, Project team, and Finance colleagues to ensure accurate financial information and effective communication.
· Communicate financial data clearly to non-financial stakeholders.
· Contribute to a positive, collaborative studio culture.

Qualifications
· Bachelor’s degree in Accounting, Finance, or a related field.
· Professional accounting designation (CPA) or progress toward CPA is an asset.
· 3+ years of experience in project accounting or a related role within professional services, architecture, engineering, or construction.
· Experience with Deltek Vantagepoint or similar accounting software is an asset.
· Strong proficiency in Microsoft Excel and Microsoft Office.
