Position Overview:
Acts as a primary City contact for grading and building complaints and building statistical information. Generates related reports, and grading approval letters and refunds. Acts as a liaison between the public and inspectors; provides administrative support to the Building Division.

Responsibilities:
Processes public portal registrations for first time users in a timely manner, responds to customer inquiries and technical issues relating to public portal log-ins.
Records building and grading complaints received from the public, staff or council. Obtains accurate information (e.g., correct addresses involved, complainants name, phone number and any other relevant information) and relays to inspector. Maintains confidentially when dealing with complaints.
Coordinates inspections (date/time) resulting from the complaint and special circumstances by liaising between Municipal Building Official (MBO) inspectors and requestors; follows up with complainant to confirm date/time.
Prepares monthly Building Reports in accordance with 1 week deadlines to capture statistics for permits issued, number of units, construction values, and permit fee values for previous month. Generates four reports from various sources (e.g., AMANDA, Crystal reports). Verifies individual statistics and totals by cross-referencing figures and confirming calculations across reports; investigates and rectifies discrepancies/errors; and consolidates into comprehensive reports. Analyses data and creates graphs to express year-to-year comparisons.
Verifies driveway slope and approval date from grading certificates from consultants, generates grading approval letters, sends out to consultants and builders
Performs other related duties as assigned.

Requirements:
Grade 12 diploma plus up to 1 year post-secondary job related courses.
Minimum of 1 year related experience, including administration experience, data reporting, customer service, and database experience.
Proficient in the use of Microsoft Office Suite.
Proven excellent communication and customer service skills to effectively handle a high volume of inquiries from the public and staff in a courteous and professional manner.
Ability to support and project values compatible with the organization.
Proven ability to balance multiple tasks and deadlines.
Preference will be given to candidates with knowledge of the building and construction industry.
Must be reliable with a good attitude and employment record.

Grade 12 Diploma with minimum 2 years’ related and relevant experience or 2-Year Diploma (or 2- Year Specialized Post-Secondary Program) with minimum 6 months related and relevant experience.
