Overview

We are seeking a highly organized and detail-oriented Payroll Specialist to manage and oversee our payroll operations. The ideal candidate will possess a strong background in payroll processing, accounting, and human resources systems, with expertise in ensuring compliance with labor laws and tax regulations. As a Payroll Specialist, you will be responsible for accurately processing employee wages, managing payroll systems, and supporting benefits administration to ensure seamless compensation delivery. Duties

  • Process payroll accurately and efficiently using various payroll systems such as Workday, ADP, Paychex, Ceridian, or UltiPro, ensuring timely delivery of employee wages.
  • Maintain and update employee records within HRIS platforms, including data entry related to hours worked, benefits, and tax information.
  • Ensure compliance with employment and labor laws by staying current on relevant regulations and implementing necessary adjustments in payroll procedures.
  • Reconcile payroll accounts regularly through general ledger accounting practices, including journal entries, debits & credits, and account reconciliation.
  • Manage payroll tax filings and payments in accordance with federal, state, and local tax law requirements.
  • Support benefits administration processes such as enrollment, deductions, and leave management in collaboration with human resources teams.
  • Assist in the preparation of reports related to payroll expenses, labor costs, and financial analysis for management review.
  • Collaborate with accounting teams to ensure accurate recording of payroll-related transactions within financial software like QuickBooks or other accounting platforms.

EDUCATION AND EXPERIENCE:

  • Education: Must possess, as a minimum, a high school diploma or GED (AA Degree in Business Administration preferred but not necessary)
  • Experience: 3 years of payroll experience preferred
  • Two years’ experience as an HR practitioner is preferred
  • HRIS and payroll experience preferred

Qualifications

  • Proven experience working with payroll management systems such as Workday, ADP, Paychex, Kronos, or similar platforms.
  • Strong knowledge of employment law, tax law, and labor regulations affecting payroll processing across various jurisdictions.
  • Background in corporate accounting or governmental accounting with familiarity in general ledger reconciliation and bookkeeping practices.
  • Demonstrated ability to handle complex data entry tasks with precision using 10 key typing skills and double-entry bookkeeping methods.
  • Experience supporting benefits administration processes including benefits enrollment and compliance documentation.
  • Knowledge of accounting software such as QuickBooks or similar financial tools used for payroll processing and financial reporting.
  • Strong analysis skills for reviewing payroll data accuracy and resolving discrepancies efficiently.
  • Familiarity with time & attendance systems like Kronos or UltiPro to track employee hours accurately.
