Position Description

Payroll & HR Systems Associate

If you’re energized by getting the details right and you care about the people behind every paycheque this role is for you. SickKids is seeking a Payroll & HR Systems Associate (PHRSA) to help deliver an accurate, trusted payroll experience by maintaining high quality HR records and processing employee data that supports leaders across the organization. In this role, you ll manage a portfolio and handle end to end transactions from retroactive changes and leaves to terminations and bi weekly Records of Employment while safeguarding data integrity and providing responsive, policy aligned service.


Here’s what you’ll get to do

  • Manage employee lifecycle and pay-impacting changes end to end (hires, status/pay changes, leaves, terminations), ensuring approvals, documentation, and accurate downstream payroll results.
  • Maintain clean, audit-ready HR master data creating and updating job, position, and personal records with a high standard for accuracy and confidentiality.
  • Investigate and resolve payroll exceptions, retroactive adjustments, and corrections, translating policy/collective agreement requirements into accurate pay outcomes.
  • Support overpayment resolution with clear communication and compliant recovery steps, balancing employee experience with internal controls.
  • Execute transactions and troubleshoot data alignment across Oracle PeopleSoft and Express Net (time capture/approvals) to keep time, HR, and pay data in sync.
  • Prepare and submit bi-weekly Records of Employment (ROEs) through PeopleSoft and Service Canada, meeting required timelines and standards.
  • Partner with employees, managers, timekeepers, and HR/Payroll colleagues triaging inquiries, explaining decisions, and driving issues to resolution.
  • Contribute to operational excellence by maintaining SOPs/job aids and identifying process improvements (including reducing off-cycle/manual payments where possible).


Here’s what you’ll need

  • 2’3 years of in-house payroll processing experience; PCP certification (or in progress) is an asset.
  • Post-secondary education in HR (degree/diploma) or equivalent practical experience.
  • Comfort working in HRIS/payroll systems (PeopleSoft an asset) and exposure to time & labour systems.
  • Knowledge of unionized and non-unionized environments, plus working understanding of the Ontario Employment Standards Act.
  • Strong Excel/Office skills (e.g., pivot tables, VLOOKUP) and confidence analyzing data to solve problems.
  • High discretion and sound judgment with confidential information; strong organization and deadline management.
  • Service-oriented communicator who can explain payroll decisions clearly and work collaboratively across teams.
