Role Description
We are seeking a Part-time Administrative Assistant to support the day-to-day operations of CanWise Immigration Solutions.
- Schedule and track meetings, appointments, and daily tasks of RCIC.
- Assist RCIC in performing tasks related to initial consultation, immigration files preparation, data-entry, submission, follow-up, research, and office management.
- Receive and make calls – correspond with client through phone, email, sms, whatsapp to collect information, documents, and to provide updates
- Work in the front-end of the office – greet clients, collect information, direct clients, coordinate with other staff members and RCIC, give services information and/or market services to the potential clients.
- Conduct interviews and assessments to determine client needs and develop individualized service plans
- Maintain accurate and up-to-date client records using computerized databases and Client Relationship Management (CRM) softwares.
- Prepare retainer agreement, send invoices, collect payments, and send reminders.
- Monitor client progress and make necessary adjustments to service plans as needed.
- Advocate for clients' rights and ensure their needs are met.
- Perform office admin duties, track and order supplies, maintain professional office outllook, make suggestions, and take actions to improve office procedures, business image, and office outlook.
- May appear and participate in the business marketing campaigns.
Requirements:
- Bilingual proficiency in English, Hindi and Punjabi
- Strong computer skills, including proficiency in Microsoft Outlook, Windows, database management, and adobe acrobat pro
- Excellent written and verbal communication skills
- Ability to analyze complex information and make informed decisions
- Strong organizational skills with the ability to prioritize tasks effectively
- Ability to work independently as well as collaboratively in a team environment
- Experience in case management or a related field is preferred
- Min Typing Speed 40 Word Per Minute
