Position Summary

Temporary Part-Time Support Staff, new contract position (Immediate – September 28, 2026)

The Part-Time Credit Transfer Officer is responsible for coordinating credit transfer and Prior Learning Assessment and Recognition (PLAR) processes. The incumbent provides accurate and timely guidance to applicants, students, and staff regarding credit transfer, advanced standing, and PLAR policies and procedures.

Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the department’s needs through a hybrid work arrangement, Monday to Friday, 8:30 a.m. to 1:30 p.m., with one day on-site per month at the Doon campus, located at 299 Doon Valley Dr. in Kitchener.

Responsibilities

Credit transfer coordination

  • Coordinate and facilitate credit transfer and PLAR processes in alignment with institutional policies
  • Provide clear guidance on eligibility, procedures, and available supports related to credit transfer and PLAR
  • Advise students on implications of credit transfer decisions, including academic status, fees, scheduling and graduation requirements
  • Recommend alternative options (e.g., PLAR or appeals) when credit requests are denied
  • Identify and escalate policy exceptions to Academic Administration and the Registrar, ensuring appropriate documentation and tracking

Student and stakeholder support

  • Deliver one-on-one advising, group sessions, and presentations on pathways, advanced standing, and credit transfer
  • Respond to inquiries from applicants, students, and staff in a timely and professional manner
  • Track and monitor credit transfer requests, following up on incomplete or outstanding applications
  • Collaborate with academic advisors, program coordinators, subject matter experts, and program chairs to support decision-making and policy adherence

Systems and process support

  • Liaise with Information Technology and Computer Systems teams to define business requirements and support system enhancements as they relate to Credit Transfer and PLAR functions
  • Participate in user testing to ensure functionality aligns with operational needs

Reporting and compliance

  • Collect and compile data required for reporting to the Ministry of Colleges and Universities (MTCU)
  • Prepare summary reports to support pathway funding initiatives

Outreach and communication

  • Coordinate and deliver workshops, information sessions, and orientation events for students
  • Coordinate the development and review of materials to support the promotion and explanation of credit transfer processes (e.g., guides, manuals, website content)
  • Support the maintenance of ONTransfer.ca content
  • Act as a liaison with internal departments to ensure accurate pathway articulation and curriculum mapping

Qualifications

  • A three-year diploma or degree in Business Administration Management, a Bachelor of Arts, or a related field is required
  • A minimum of three years of practical experience in student/client services working with a diverse clientele, including newcomers to Canada and new Canadians and experience working with multiple large database systems
  • Experience working in an educational environment is preferred
  • Strong verbal and written communication skills
  • Excellent organizational and time management skills, with the ability to manage competing priorities
  • Sound judgement, problem-solving and decision-making abilities
  • Demonstrated commitment to delivering high-quality customer service
  • Ability to work independently and collaboratively within a team
  • Capacity to perform effectively in a fast-paced and demanding environment
