Operations Associate

The Royal Alexandra Hospital Foundation (RAHF) is excited to welcome a highly organized, proactive, and detail-oriented professional to our team. The Operations Associate provides high-level administrative and operational support to the Vice President, Operations & Strategic Initiatives and the Vice President, Finance & CFO. This role is essential in enabling organizational effectiveness by managing schedules, coordinating communications, and supporting day-to-day operations with precision and professionalism.

This position plays a critical role in ensuring the smooth functioning of the Foundation’s office environment. From front-line administrative support to coordination of internal systems such as information technology and facilities, the Operations Associate helps maintain a seamless and productive workplace. The role also contributes to broader organizational priorities by supporting projects, improving processes, and collaborating across teams.

Key Accountabilities

General Administration

·      Serve as the first point of contact for the Foundation by managing the front desk, main phone line, and general inboxes.

·      Oversee office operations including ordering and maintaining supplies, branded materials, and kitchen inventory.

·      Coordinate facility-related requests, including furniture and workspace needs, and liaise with AHS systems for building support.

·      Maintain staff directories and manage incoming and outgoing mail and courier services.

·      Ensure the office environment remains organized, functional, and welcoming.

Executive Support

·      Manage complex and dynamic calendars for the Vice Presidents, including scheduling meetings, appointments, and travel.

·      Proactively resolve scheduling conflicts and ensure effective use of leadership time.

·      Prepare and process expenses, invoices, and supporting documentation.

·      Coordinate meeting logistics, including booking spaces, preparing agendas, and distributing materials.

·      Develop high-quality correspondence, presentations, and reports with accuracy and professionalism.

·      Provide meeting support, including agenda preparation, minute-taking, tracking action items, and following up to ensure completion.

Information Technology & Facilities Support

·      Coordinate IT-related requests and provide basic troubleshooting support.

·      Liaise with AHS IT teams and external vendors to resolve technical issues.

·      Manage organizational IT assets, including phones and equipment, ensuring proper tracking and assignment.

Operational & Project Support

·      Assist in coordinating projects by tracking timelines, deliverables, and progress.

·      Conduct research and compile information to support decision-making and reporting.

·      Support budget preparation and monitor expenditures as required.

·      Contribute to process improvements and operational efficiencies across the organization.

Performance & Success Indicators

Success in this role looks like:

·      Timely and responsive support, with requests acknowledged and initiated within 24–48 hours.

·      Efficient calendar and meeting coordination, with meetings consistently starting and ending on time.

·      Accurate and timely preparation and distribution of meeting materials.

·      Quick and effective resolution of scheduling conflicts and competing priorities.

·      High-quality work with minimal errors in documents, reports, and communications.

·      Reliable completion of tasks within established deadlines.

·      Consistent responsiveness to calls and emails within agreed timelines.

·      Well-maintained office environment with organized supplies and systems.

Required Knowledge, Experience & Competencies

·      Experience in an administrative or professional support role.

·      Exceptional organizational and time management skills, with the ability to manage multiple priorities.

·      Strong verbal and written communication skills with a professional and approachable style.

·      Demonstrated ability to handle sensitive and confidential information with discretion.

·      Proactive and self-motivated, with the ability to work independently and collaboratively.

·      Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).

Assets

·      Business Administration Diploma or equivalent.

·      Experience working in a nonprofit, charitable, or community-based organization.

·      Familiarity with the healthcare system, Royal Alexandra Hospital programs, or fundraising environments.
