Job Description

Membership Operations

●      Serve as the first point of contact/greeting for visitors, incoming calls, couriers, and general inquiries.

●      Answer “walk-up” member and guest questions or refer inquiries to additional resources

●      Oversee mail and package responsibilities

●      Solve member-related issues to ensure a cohesive community

●      Prepare member communication (building updates, newsletters)

●      Work on community initiatives designed to develop connections between members, including member introductions, event support, email communications

●      Encourage participation in socials, lunch & learns, and other community events

●      Identify issues for escalation to Director of Operations and Sr Management and document accordingly

Building Operations and Management

●      Complete and follow-up on daily, weekly, monthly facility checklists

●      Prepare and distribute new member welcome information, keys, and any other move-in/out needs

●      Coordinate onboarding for new team members, including technology setup, access permissions, and orientation – as requested

●      Manage facility & equipment maintenance/schedules, tech support, cleaners and trade/vendor relationships

●      Ordering supplies (Coffee, tea, snacks, stationary etc.)

●      Identify issues for escalation to Manager and document accordingly

●      Using initiative to assess all building needs and reviewing with management as needed

Office Administration

●      Maintain structured digital and physical filing systems for contracts, deal files, and legal documents

●      Oversee daily office operations, ensuring an organized and efficient work environment including printers, WIFI, meeting rooms: log and resolve issues

●      Monitor cleanliness, supplies (coffee, snacks, stationery), Wi-Fi/printers, and meeting rooms; log and resolve issues.

●      Provide administrative support to senior leadership, including scheduling, calendar management, and meeting coordination

●      Support team-building events, training sessions, and internal communications.

●      Organize internal team events, external meetings, boardroom bookings, and offsite sessions.

●      Respond to leads for Geary Condo Sales and Leases, tour prospective tenants and buyers and follow up to ensure closure of sale/lease

●      Support ongoing administrative improvement projects and special assignments as needed.

Required Skills and Experience

  • Proficient in basic computer skills including Microsoft Office Suite
  • 3-5 years of relevant administrative experience in operations for a commercial real estate or property management company
  • Experience working in a professional environment
  • A high level of attention to detail, strong organizational skills, excellent time management skills
  • A professional, customer-focused attitude with excellent verbal and written communication skills
  • Ideally the candidate would hold a university or college degree
  • Ideally located in Toronto within commutable distance to Dupont and Dufferin area
  • A strong team player
