Full job description
STRABAG Inc., is a subsidiary of STRABAG SE, a European-based technology group for construction services. STRABAG Inc. has extensive experience in large-scale underground hard and soft ground construction projects. We provide expertise in ground engineering and tunnel excavation with qualified personnel.
STRABAG is actively seeking a Office Assistant for our Canadian division, where he/she can utilize their extensive knowledge to contribute to the continued success and growth of the organization. The Office Assistant will be responsible in providing support for various departments of the project team. Temproarily the successful candidate will work out of the head office in Mississauga, Ontario and will later be stationed at the Eglinton West Project in Toronto, Ontario.
Job Duties & Responsibilitites
Porvide administrative support to the Project Manager, Commerical Manager and the Construction Manager
includes typing of memos, documents and correspondence
Calendar and Schedule Managment appointments as required
Coordinate Workflow and Office Activities
maintain general appearance of office
organize and maintatin filing systems
greet visitors, answer, screen direct calls and take/forward messages
track incoming mail, parcels, packages, process outgoing mail
order and maintain office supplies, arrange for couriers, shipment pick up
basic housekeeping of kitchen, lunhroom, boardrooms
orgnaize social events and design required coorespondence
prepare catering requests when required
Organize internal and external meetings
create, transcribe and distribute meeting agendas and minutes
set up conference calls and audio visual equipment prior to commencement of meetings/trainings
Cooridnate with IT and external organizer
ensure proper and functional internal IT requirements are met
coordinate/maintain internet access for external/internal visitors to site
maintian email list
Manage and Process correspondence
update/maintain the document management system for all contractual correspondence
ensure that required signatures are on all outgoing doucments before submission
bind documents for various departments when required
Perform other dues as assigned by Management
Qualifications
1+ year’s expereience as an office administrator
College or diploma in Office Administration is an asset
Ability to handle and review confidential information professionally
Must have valid G2 /G drivers licence and ability to supply own transportation
Knowledge & Skills
Strong MS Skills (Office, Word, Excel and Publisher)
Excellent organizational and time management skills
Excellent written and verbal communications skills
Attention to detail
Self-motivated , persistent and flexible
