Key Responsibilities:

Managing Telephone Communications:

Operate the telephone console to courteously receive incoming messages and effectively direct callers to their intended destinations.

Respond to calls promptly, addressing client inquiries or routing them to the most appropriate contact.

Efficiently transfer calls to staff or voicemail during staff absences.

Welcoming and Guiding Visitors:

Greet and direct visitors in a professional and welcoming manner.

Handling Mail and Messages:

Open and organize all incoming mail, including the separation of checks and distribution among various departments.

Assist in the sorting, stamping, and preparation of mail.

Facilitate courier package pickups as needed.

Prepare Policy Books, ID Cards, and undertake various printing tasks.

Ensure the reception area remains tidy and organized.

Performing Clerical and Administrative Tasks:

Execute a range of clerical duties as required.

Assist with data entry tasks when necessary.

Contribute to additional projects as needed.

Assisting Various Departments:

Collaborate with different departments on administrative tasks, such as mail processing and distribution.

Conduct front-end scanning for all departments to streamline document management.

Prepare outgoing mail.

Facilitate scanning operations, both front-end and back-end, for various departments.

Qualifications:

Exceptional verbal and written communication abilities, including professional phone etiquette and courteous interaction with clients and visitors.

Strong organizational and multitasking skills with attention to detail, maintaining an orderly workspace.

Proficiency in standard office software and basic office equipment operation.

A strong customer service orientation and the ability to handle inquiries and requests in a friendly and helpful manner.

Capacity to adapt to changing demands and priorities, as well as the ability to handle unexpected situations.

High school diploma or equivalent. Post-secondary education or relevant certifications are a plus.
