Full job description
Support Ontario Youth is looking to hire anOffice Administrator/Executive Assistant,to help support our driven, focused, and ever-expanding team. We welcome the experience of someone who can implement processes and systems to stay effectively organized.
This is a full-time position, Monday to Friday at our Etobicoke office (when work might occur outside of office hours, your schedule will adjust accordingly). Candidates must be a commutable distance from our office.
Your ability to multi-task, while managing your own work with independent individual schedules is essential to this position. You need to be resourceful, adaptable, organized and a good problem-solver who can handle a changing and growing environment with ease. You are also efficient and comfortable taking direction from and supporting multiple team members. You also know that clear communication, collaboration, and teamwork is the key to a successful workplace.
Responsibilities and Duties include but are not limited to the following:
Office Administrator
Responsible for managing your own workflow to get the job/task done efficiently and in a timely manner.
Managing internal and external communications with all stakeholders
Organizing office events
General administrative duties including but not limited to answering phone, organizing filing system, preparing event materials, and handling requests or complaints in a professional manner.
Light organization of office including public and kitchen area
Occasional travel to support events or members may be required.
Provide administrative support to other departments within the organization, as needed special projects and other duties as assigned
Executive Assistant
Manage executive’s calendar and schedule, including arranging and organizing meetings, conferences, and travel
Handling of Board of Director meetings, agendas and take detailed minutes of meetings
Manage and coordinate executive projects, including research, data analysis, and report preparation if required
Maintain filing systems
Monitor and respond to emails, phone calls, and other inquiries
Track and monitor progress of key projects
Qualifications and Skills:
2-4 years of administrative and/or executive assistant experience
Previous work with a Board of Directors and taking meeting minutes is an asset
Excellent understanding of Microsoft 365 with expertise in Outlook, Excel, and Microsoft Word
Must be highly organized, efficient, detail-oriented, and have excellent communication and interpersonal skills
Superior ability to coordinate calendars of multiple staff and dedication to completing projects in a timely manner
Must be comfortable making calls, talking on the phone and interacting with all levels of stakeholders
Able to work a flexible schedule
Exposure to the skilled trades environment would be an asset but is not necessary
