Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. Rusway Construction Ltd. is a Water and Sewer construction contractor completing work for a variety of clients including Municipalities, Developers, etc. The Office Administrator will be responsible for overseeing the day-to-day administrative operations of our office. This is a key role that requires excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously.
Responsibilities:
– Manage front desk operations, including greeting visitors, answering phone calls, and directing inquiries to the appropriate departments
– Perform general clerical duties, such as data entry, filing, and record keeping
– Assist with payroll processing and maintain employee records
– Handle budgeting and expense tracking
– Utilize Sage 50 software for financial management tasks
– Coordinate office supplies and equipment maintenance
– Assist with training development and implementation for new employees
– Maintain office policies and procedures
– Ensure compliance with company policies and regulations
– Manage phone systems and ensure proper phone etiquette is maintained
Qualifications:
– Proven experience as an Office Administrator or in a similar administrative role
– Proficient in using Sage 50 or equivalent industry standard software for financial management tasks
– Strong organizational skills with the ability to prioritize tasks effectively
– Excellent verbal and written communication skills
– Experience in the construction industry would be considered an asset but not required
– Knowledge of office management systems and procedures
– Familiarity with budgeting processes
– Ability to handle confidential information with discretion
– Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
– Ability to work independently as well as part of a team
