Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office functions. This role is essential in ensuring smooth workflow, maintaining efficient processes, and fostering a professional office environment. Previous experience with QuickBooks, human resources, payroll, and vendor management is highly desirable. The Office Administrator will serve as the backbone of our administrative team, handling a variety of tasks from front desk management to team training.
Responsibilities
- Manage front desk operations, including multi-line phone systems and greeting visitors with professional phone etiquette
- Oversee clerical duties such as filing, data entry, and document management
- Supervise administrative staff and coordinate team management activities
- Handle bookkeeping tasks using QuickBooks and assist with budgeting processes
- Support human resources functions including onboarding, training & development, and employee record keeping
- Manage vendor relationships and oversee vendor management processes
- Assist with payroll processing to ensure timely and accurate employee compensation
- Maintain organized office supplies inventory and manage procurement activities
- Implement efficient office procedures to improve productivity and workflow
- Ensure compliance with company policies and maintain confidentiality of sensitive information
Requirements
- Proven experience in office administration or related roles with strong organizational skills
- Supervising experience preferred; capable of managing a team effectively
- Proficiency in QuickBooks, bookkeeping, payroll, and vendor management systems
- Excellent communication skills, both verbal and written
- Experience with front desk operations and multi-line phone systems
- Strong clerical skills including filing, data entry, and document organization
- Knowledge of human resources practices, training & development processes, and budgeting principles
- Exceptional organizational skills with the ability to prioritize tasks efficiently
- Professional phone etiquette and interpersonal skills for effective communication with clients and staff
- Office experience combined with familiarity in administrative roles is required
