Construction Office Administrator
Our client is a growing, well-established company in the mechanical services industry looking for a dependable, organized, and computer-savvy Office Administrator to support daily office operations. This role is ideal for someone who is strong with data entry, comfortable learning systems, understands construction progress billing, and enjoys keeping things organized behind the scenes. This is not a senior accounting role. It is a hands-on office support position focused on accurate data entry, payroll support, billing coordination, onboarding administration, and general office work in a busy, team-oriented environment.
Employment Type: Part time to Full-Time
Purpose
In this role, you will help keep the office running smoothly by supporting data entry, payroll administration, project billing support, onboarding paperwork, document management, and general office coordination. The ideal candidate is highly organized, detail-oriented, confident using computers and office software, and able to handle a variety of administrative tasks accurately and efficiently in a fast-paced construction environment.
Primary Responsibilities
· Enter purchase orders, vendor bills, expenses, and other job-related information into QuickBooks Online accurately and on time.
· Support payroll processing by gathering, entering, and confirming employee time and related information.
· Assist with construction progress billing and help ensure billings are prepared accurately and submitted on time.
· Maintain organized job files, office records, and digital documentation.
· Support onboarding for new staff, including preparing paperwork and assisting with benefits enrollment and related setup.
· Answer phones, respond to emails, and communicate professionally with staff, customers, vendors, and subcontractors.
· Prepare forms, letters, reports, and general office documents as needed.
· Track and organize incoming paperwork so information is easy to find and up to date.
· Assist with scheduling, calendar coordination, and general administrative follow-up.
· Provide dependable day-to-day office support and help keep internal processes running smoothly.

Key Qualifications
· Strong computer skills and confidence learning and using office software and digital systems.
· QuickBooks Online experience is required.
· Experience with data entry, billing support, payroll support, and general office administration.
· Knowledge of construction progress billing is strongly preferred.
· Strong attention to detail and a high level of accuracy.
· Able to stay organized, manage routine tasks, and follow through consistently.
· Professional communication skills and a helpful, team-oriented attitude.
· Experience in construction, trades, or a project-based office environment is an asset.
